About this role

Key Responsibilities

1. Payroll Administration

- Prepare, validate, and maintain payroll input data, including:

New hires
- Employee movements
- Salary changes
- Overtime
- Allowances
- Benefits
- Deductions
- Final pay adjustments

- Perform payroll data audits and reconciliation activities to ensure data integrity and accuracy.
- Coordinate payroll activities with Finance and external payroll vendors.
- Support payroll processing schedules and ensure timely submission of payroll inputs.
- Assist in payroll-related investigations, corrections, and employee inquiries.
- Maintain payroll records and supporting documentation.
- Support year-end payroll activities and government reporting requirements.

2. Compensation and Benefits Administration

- Support the administration of employee benefits programs.
- Coordinate enrollment, updates, and changes to company benefits.
- Process and monitor: HMO enrollments
- Life insurance administration
- Government-mandated benefits
- Company-sponsored benefits

- Serve as liaison between employees and benefit providers.
- Maintain records of employee benefit eligibility and participation.
- Assist in employee benefits communication and orientation sessions.

3. Government Compliance Administration

- Coordinate statutory requirements relating to: SSS
- PhilHealth
- Pag-IBIG
- BIR

- Prepare and monitor required government submissions and documentation.
- Support employee concerns regarding government contributions and benefits.
- Ensure payroll-related processes comply with Philippine labor laws and statutory regulations.
- Stay updated on relevant government regulations affecting payroll and benefits administration.

4. Employee Lifecycle Administration

Onboarding

- Prepare employment documentation and onboarding requirements.
- Coordinate pre-employment requirements.
- Facilitate employee orientation logistics and onboarding administration.
- Maintain onboarding tracking and documentation.

Employee Changes

- Process promotions, transfers, salary adjustments, employment status changes, and organizational updates.
- Maintain employee records and personnel files.

Offboarding

- Coordinate employee separation processes.
- Monitor clearance activities.
- Process separation documentation and final pay requirements.
- Maintain complete employee records following separation.

5. HR Operations and Data Management

- Maintain employee records and HR documentation.
- Ensure employee data within HR systems is accurate and updated.
- Support HR audits and compliance reviews.
- Manage HR operational trackers and databases.
- Prepare standard HR documents and employee correspondence.
- Ensure compliance with company record retention and document management standards.

6. Employee Support and HR Service Delivery

- Serve as a primary point of contact for employee inquiries related to:

Payroll
- Benefits
- Leave administration
- Employee records
- HR processes

- Provide timely and professional responses to employee concerns.
- Escalate complex matters to the appropriate P&C leadership team.

7. Reporting and Analytics

- Generate recurring and ad hoc reports, including: Headcount reports
- Attrition reports
- Payroll reports
- Benefits administration reports
- HR operational metrics

- Ensure data accuracy and completeness in all reports.
- Assist leadership in gathering and validating employee data for decision-making purposes.

8. Process Improvement and Operational Excellence

- Identify opportunities to improve payroll and HR operational processes.
- Support implementation of process improvements and automation initiatives.
- Develop and maintain SOPs, workflows, forms, checklists, and process documentation.
- Participate in HR systems enhancements and operational improvement projects.
- Promote continuous improvement within the People & Culture Operations function.

Qualifications & Experience

- Bachelor’s degree in Human Resources, Psychology, Business Administration, Finance, Accounting, or a related field.
- 3–5 years of progressive experience in HR operations, payroll administration, HR shared services, compensation and benefits administration, or employee data management.
- Hands-on experience preparing, validating, reconciling, and coordinating payroll inputs.
- Experience supporting employee lifecycle processes such as onboarding, changes, movements, documentation, and offboarding.
- Experience working with HRIS platforms, payroll systems, employee databases, or HR reporting tools.
- Working knowledge of Philippine payroll, statutory benefits, and HR documentation requirements.
- Exposure to multi-country payroll, global shared services, or cross-border HR operations is an advantage.
