As the Customer Service Representative, you will act as a key liaison between terminal departments and customers, ensuring accurate order processing, effective communication, and up-to-date inventory records aligned with contractual agreements and quality standards.

What you will be doing

You will be responsible for managing the end-to-end customer service process for assigned customers, including initial order entry in line with contractual agreements and quality assurance policies, maintaining accurate inventories and files, and coordinating closely with Operations and the Inventory Supervisor to resolve discrepancies. Working under the guidance of the Customer Service Manager and in collaboration with other terminal departments, you will handle day-to-day customer communication, support audits, visits and meetings, and participate in regulatory, quality and job-enhancement training and reporting activities to continuously support service quality and compliance.

Key responsibilities

- Directly responsible for processing orders for assigned customers based on current agreements and quality standards and communication requests for the Operations Department. In addition, handles any after-hour issues that may arise and provides as a back-up Customer Service Representative.
- Establishes and maintains a working relationship with assigned customers and their representatives while keeping Customer Service Manager informed of any problems or potential problems that may create any alterations to quality procedures and communicate requests such as audits, visits and meetings to appropriate Departments.
- Responsible for completing and reporting month-end closing process per the established guidelines and determined timeframe. This includes maintaining accurate inventory numbers on customer tanks throughout the month and works in conjunction with the Inventory Supervisor to resolve discrepancies.
- Organizes and maintains files of assigned customer orders, completed and pending, as well as correspondence and updates desk reference manual as needed.
- Participate in any required regulatory, quality process, job enhancement, customer directed training or the preparing of special reports as required by the Customer Service Manager.

Qualifications

- Nitec/Higher Nitec/Diploma
- Possess minimum 2 (two) years of experience, preferably in the operational and customer service field
- Good communication, customer-focus, and teamwork skills
- Proficient in MS Office tools
