Job Description

We're looking for an organized, detail-oriented, and enthusiastic Assistant Project Manager to join our dynamic team in Dubai, United Arab Emirates. In this role, you will provide essential support to senior project managers while managing documentation, coordinating stakeholders, and ensuring project milestones are met on schedule. You'll be instrumental in facilitating smooth project progression through effective communication, meticulous planning, and proactive problem-solving. - Assist senior project managers in coordinating project activities across all phases, from initiation through execution, ensuring alignment with organizational goals and timelines
- Prepare and maintain comprehensive project documentation, including meeting minutes, progress reports, status updates, and compliance checklists with accuracy and attention to detail
- Organize and manage project schedules, timelines, and resource allocation plans while identifying potential bottlenecks and communicating risks to senior management
- Coordinate communication and collaboration between internal teams, clients, vendors, consultants, and stakeholders to facilitate transparent and efficient project progression
- Track project milestones, deliverables, and performance metrics against established baselines, flagging deviations and recommending corrective actions
- Support budget tracking and cost management activities by monitoring expenses, maintaining records, and reporting financial status to project leadership
- Maintain organized filing systems, databases, and repositories for project records, contracts, correspondence, and historical documentation
- Conduct research on industry best practices, comparable projects, and market conditions to inform project strategy and decision-making
- Assist in preparing presentations, proposals, and reports for client meetings, stakeholder reviews, and executive briefings
- Support vendor and consultant management by organizing submissions, tracking deliverables, and ensuring quality standards are met
- Identify potential project risks and issues, documenting them clearly and escalating to appropriate team members for resolution
- Demonstrate flexibility and resilience by adapting to changing project requirements and supporting team members with additional responsibilities as needed

Qualifications

- Proven experience in project coordination, project administration, or project management support roles within a corporate environment
- Proficiency with project management software and tools (such as Microsoft Project, Asana, Monday.com, or similar platforms)
- Strong proficiency with Microsoft Office Suite, particularly Excel, Word, and PowerPoint
- Excellent organizational and time management skills with demonstrated ability to manage multiple tasks simultaneously and meet deadlines consistently
- Strong analytical abilities to interpret project data, feasibility studies, and performance metrics
- Excellent written and verbal communication skills with the ability to communicate clearly with diverse stakeholders at all levels
- Demonstrated ability to work collaboratively in team environments and support colleagues with a positive, inclusive attitude
- Strong attention to detail and commitment to accuracy in all documentation and reporting
- Ability to prioritize effectively and adapt to changing project requirements with flexibility and resilience
- Problem-solving mindset with the ability to identify issues early and recommend practical solutions
- Experience with stakeholder management and coordination across multiple departments or external parties
- Basic understanding of project management principles, methodologies, and best practices
- Professional demeanor, reliability, and commitment to transparency in all communications
- Preferred: Project Management Professional (PMP), Certified Associate Project Manager (CAPM), or equivalent certification
- Preferred: Experience in specific industries such as construction, real estate development, technology, or consulting
