Internal Fleet Coordinator

We are currently looking for an experienced Internal Fleet Coordinator for Belgium & Luxembourg. In this key role, you will be responsible for the operational and strategic management of our internal fleet of approximately 150 vehicles, with an annual turnover of 3 to 4 replacement cycles.

Based in the Remarketing Department, you will work closely daily with Sales, Marketing, PR, Events, Finance, Operations and external partners. This gives you a unique position within the organisation, with a direct impact on cost control, vehicle availability and the Polestar customer experience.

What you’ll do

Fleet & Car Park Management

· Management of a balanced car park structure (In Fleet, Active Fleet and Display Fleet).

· Overseeing the deployment of demonstration, job and service vehicles in accordance with internal guidelines.

· Managing vehicle inflows and outflows based on age, mileage and business needs.

· Organising and monitoring periodic fleet inventories.

Vehicle Lifecycle Management

· End-to-end coordination of vehicles throughout their entire lifecycle.

· Managing administration, registration, insurance and documentation.

· Monitoring of vehicle statuses, maintenance, damage, recalls and fines.

· Proactively preventing operational disruptions and downtime.

Planning & Vehicle Availability

· Centralised planning of test vehicles, events, vehicle changes, maintenance and transport.

· Maximising vehicle availability and utilisation rates.

· Coordination with internal stakeholders regarding fleet requirements.

· Coordination of transport and logistics movements.

Stakeholder & Compliance Management

· Monitoring fleet processes and internal compliance.

· Central point of contact for internal departments and external suppliers.

· Ensuring correct vehicle check-in and check-out procedures.

· Compliance with contractual agreements and internal policies.

Supplier & Cost Management

· Managing and evaluating external partners and suppliers.

· Monitoring SLAs, quality and invoicing.

· Continuously seeking optimisations in terms of costs, efficiency and processes.

Your profile

· At least 3 to 5 years’ experience in fleet management or automotive operations.

· Strong organisational skills and excellent process monitoring.

· Experience dealing with various stakeholders and suppliers.

· You are proactive and take ownership.

· Good knowledge of Dutch and English. French is a strong asset.

· Strong analytical skills with an eye for detail and cost control.
