Executive & Administrative Assistant
Location: Madrid | 6-month temporary contract | Remote/Hybrid
We are looking for a highly organized, proactive and resourceful Executive & Administrative Assistant to join our team in Madrid.
In this role, you will provide high-level administrative and operational support to senior leadership, including the Vice President of Operations, while working closely with physicians, clinic leaders and teams across the organization. You will play a key role in managing complex schedules, coordinating international travel, organizing meetings and events, and ensuring the smooth day-to-day coordination of leadership activities in a fast-paced, international environment
What you'll be doing
- Provide proactive administrative support to senior leadership and clinical leaders.
- Manage complex calendars, meetings and competing priorities.
- Coordinate national and international travel, including itineraries, accommodation and supporting documentation.
- Organize internal and external meetings, conferences, congresses and company events.
- Coordinate meetings and activities involving pharmaceutical companies, sponsors, investigators, hospitals and other external partners.
- Prepare and manage expense reports, corporate card expenses, invoices and related documentation.
- Support Principal Investigators/Oncologists with advisory boards, conferences, speaking engagements and other professional activities.
- Act as a key point of contact between clinics, departments, leadership and external stakeholders.
- Maintain accurate electronic files, trackers, records and administrative documentation.
- Anticipate scheduling conflicts and changing priorities, ensuring effective communication with all stakeholders.
- Handle confidential and sensitive information with a high level of professionalism and discretion.
What we're looking for
- Bachelor's degree.
- At least 3 years of relevant administrative experience.
- Previous experience supporting senior executives and working with different levels of an organization.
- Fluent English and Spanish , both written and spoken.
- Strong organizational skills and excellent attention to detail.
- Experience coordinating international travel, meetings, conferences or large professional events.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Proactive, independent and solution-oriented approach.
- Excellent communication and interpersonal skills.
- High level of discretion when dealing with confidential information.
