The Role
The function of this role is to support the Operations team in the day-to-day operations of Gooding Christie’s offices, warehouses, and auction events. The Operations Assistant provides administrative, logistical, and operational support across multiple departments and plays a key role in maintaining efficient office operations, coordinating consignments, managing transportation logistics, and supporting auction execution. Duties will follow the cycle of the auction calendar, including pre-auction preparation, on-site auction support, and post-auction activities, while also contributing to ongoing office and facility operations.
How You'll Make an Impact
- Provide day-to-day administrative and operational support to the Service & Gallery Operations team and other departments as needed.

- Support smooth operations across Gooding Christie’s facilities, including Santa Monica and Van Nuys, by coordinating maintenance, vendors, service providers, and office-related projects.
- Monitor shared departmental inboxes, assist with the main office phone line, and provide professional communication and administrative support to internal and external contacts.
- Maintain operational calendars, tracking systems, databases, and spreadsheets, ensuring information is accurate, organized, and up to date across internal systems.
- Coordinate inbound and outbound shipments, deliveries, warehouse transfers, and other logistics while maintaining accurate documentation and chain-of-custody records.
- Maintain hardware and vehicle inventory records, receive and document incoming vehicles, and coordinate the secure disposal or movement of company equipment and assets.
- Coordinate consignment photography schedules with specialists, consignors, transporters, and photographers, including photographer travel and production deadlines.
- Coordinate transportation and logistics for consignments and vehicles traveling to auction venues, ensuring timely delivery and accurate transportation documentation.
- Support auction event operations, including technology and workstation setup, bidder registration, client support, and coordination of inbound and outbound vehicle activity.
- Support post-auction administration by organizing Bills of Lading, buyer and transportation documentation, post-sale paperwork, and buyer packets.
- Prepare and coordinate post-sale correspondence, settlements, printing, mailing, courier, and shipping requirements, working with appropriate teams for review and approval.
- Collaborate with specialists, Client Service, Accounting, Marketing, and other departments; maintain proficiency in Gooding Christie’s and Christie’s systems and perform additional operational projects as assigned.
What You'll Bring to the Team
- Bachelor’s degree preferred, or equivalent work experience.
- Prior experience in operations, logistics, administrative support, event coordination, or client service is preferred.
- Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to work collaboratively across multiple groups, offices and functions.
- Ability to remain calm in stressful and fast-paced situations.
- Ability to work independently and as part of a team.
- Demonstrated problem-solving skills and a proactive approach to responsibilities.
- Comfortable coordinating with vendors, clients, transporters, and internal stakeholders.
- Strong knowledge of Microsoft Office, including Teams, Excel, Word and Outlook, and ability to learn Salesforce and Christie’s internal systems.
- Willingness to travel and work extended or non-traditional hours during auction events.
- Ability to lift, move, and organize operational materials and equipment as needed for office and auction support.

Salary: $55,000.00 - $60,000.00
