Job Purpose
To efficiently support the divisional GM and leadership team by providing finance administration duties & office management and through professional interaction, management and communication of confidential information with key internal and external stakeholders to ensure effective and smooth implementation and execution of finance leadership strategic goals and objectives.
What you'll have done before:
Baseline
- NQF Level 6 (Diploma in Administration, Business, Sales)
- 3 years experience in Finance Administration
- Experience in MS Office and relevant SAP module
- Experience in managing administration and coordinating projects of large scale at an executive level.
- Understanding of finance functions
Advantageous
- Diploma in Financial Administration
- Secretarial experience in supporting Senior Executive Management (with strong communication skills)
- Experience in Procurement business processes
What you'll be doing:
FINANCE ADMINISTRATION & BUSINESS SUPPORT
- Carry out finance administration support services to the finance team by performing SAP system transactions, and maintaining records, including the filing thereof. Process procurement requisitions, and goods receipting/service requisitions accurately on SAP for the division and ensure appropriate filing of such records.
- Calculate and prepare monthly accrual journals for incurred but unbilled expenses and amortize prepaid expenses to ensure accurate P&L.
- Monitor and administer item procurement and inventory by initiating purchase or material requisition using purchasing cards and verify payment invoices to ensure the delivery of items/services are in line with office requirement and budget.
- Review, analyze and plan the requirement and budget for office consumables by monitoring budget performance and variance analysis to ensure cost effectiveness.
OFFICE ADMINISTRATION SUPPORT & TEAM MANAGEMENT
- Ensure management of the divisional GM's office requirements through co-ordination of activities such as travelling, communication/correspondence, diary management, administration, budgeting, filing, payments to ensure smooth running and adherence to corporate governance within the Division.
- Effectively plan and co-ordinate office events (internally & externally) by ensuring that the activities are as per GM Office requirements and to meet Divisional goals.
- Maintain and organize data, ensuring accuracy and accessibility to all Finance Leadership Team by preparing and distributing minutes, expense reports and process agendas to ensure adherence to corporate governance.
CUSTOMER RELATIONSHIP & ENGAGEMENT
- Build and maintain internal and external stakeholder relationships through professional interaction and communication with customers and service providers to ensure smooth operations within the Finance business.
- Manage appointments, business visits and courtesy calls by reviewing, screening, and prioritizing them based on Corporate and business protocols to ensure optimum time management and objectivity towards safeguarding Engen reputation and image.
WORKING CONDITIONS:
- Ability to work extra hours (if required)
- Requirement to broaden scope of work can happen on an ad hoc basis
- Travel may be required for occasional meetings / training
