About this role

Workiva is expanding across Asia-Pacific and looking for a dedicated Executive Assistant & Office Manager based in Sydney. This high-impact hybrid role serves as the administrative / operational foundation for our regional leadership team and APAC hubs. You will support our Vice President while maintaining regional workplace operations. We need a proactive operator eager to build a cohesive, high-performance team culture.

What You'll Do

- Manage complex executive calendars across regional time zones and high-priority meetings
- Coordinate global travel itineraries, visa logistics, and expense reports for leadership
- Draft executive communications, supplemental materials, and presentation decks
- Act as a primary administrative liaison to track and execute key action items
- Drive administrative coordination and special projects across regional teams
- Plan regional leadership offsites, quarterly business review meetings, and strategic planning sessions
- Establish consistent office standards across four regional APAC office hubs
- Partner with global facilities to manage local vendor relationship, and office management
- Oversee on-site logistics, building access requirements, visitor handling, seating plans, and workplace safety compliance across multiple offices
- Lead regional culture initiatives, team celebrations, and internal community events
- Collaborate with people operations to streamline local onboarding for new team members

What You'll Need

Minimum Qualifications

- Five or more years of experience supporting executive leadership in a fast-growing technology or SaaS company
- Experience managing multi-site office operations across Asia-Pacific time zones
- Proficiency with Google Workspace, Microsoft 365, Slack, travel platforms, and expense tools
- Strong written and verbal communication skills across all organizational levels

Preferred Qualifications

- Experience building administrative processes from scratch in a dynamic environment
- Demonstrated success leading team culture programs and large-scale corporate events with careful attention to detail

Travel Requirement & Working Conditions

- Hybrid work schedule
- Occasional travel within the Asia-Pacific region for offsites and office management duties
