Job Title: Office Support Specialist Job Description
The Office Support Specialist is responsible for managing corporate office operations, handling corporate and project accommodations, and organizing travel logistics. This role involves performing and overseeing various administrative functions and serving as the primary contact for external vendors and service providers.
Responsibilities
- Support travel arrangements and manage accommodations using Concur, adhering to clearly defined processes.
- Coordinate domestic and international travel arrangements, including flights, hotels, housing, and ground transportation.
- Book travel requests and maintain accurate records of all project travel and housing requests in Teams, updating spreadsheets as necessary.
- Manage and maintain office supplies inventory.
- Schedule and coordinate meetings and appointments for the team, including conferences.
- Prepare and edit correspondence, reports, and other documents as required.
- Complete special administrative projects as requested by project management team members.
- Welcome visitors and manage incoming calls, emails, and mail; direct inquiries to appropriate personnel or provide necessary information.
- Assist with filing and safekeeping of paper and electronic project documentation.
- Support the accounting department by receiving deliveries of materials and assisting with other projects as needed.
- Collaborate with various internal workflows, such as purchase order requisitions.
- Conduct daily inspections of common areas to ensure office pantry and conference rooms are organized and fully stocked.
- Order cleaning and pantry supplies as needed.
- Support the organization of onsite and offsite meetings.
- Perform other duties as assigned.

Additional Skills & Qualifications
- Preferably 2+ years of office management experience.
- Associate degree or equivalent experience.
- Experience in the construction industry is strongly preferred.
Work Environment
The role is onsite from Monday to Friday, 8 AM to 5 PM, with a business casual dress code. The office environment offers a welcoming, family-feeling atmosphere.

This is a Contract to Hire position based out of Odessa, FL.
Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
