Job Description

As a Facilities Coordinator at Thermo Fisher Scientific, you will support the safe, reliable, and efficient operation of site facilities. In this role, you will coordinate preventive and corrective maintenance activities, administer facility work orders, maintain maintenance parts and spare-parts inventory, support workplace and space-planning activities, and assist with day-to-day facility needs.

You will work closely with Facilities, Engineering, Maintenance, EH&S, Operations, Quality, IT, Sourcing, and other internal teams to help ensure facility activities are completed safely, efficiently, and in accordance with applicable procedures and standards.

This position requires strong organizational skills, attention to detail, effective communication, and the ability to manage multiple priorities while maintaining accurate records and supporting continuous improvement.

Key Responsibilities

- Coordinate and support the site Preventive Maintenance (PM) program, including scheduling, tracking, and monitoring preventive and corrective maintenance activities.
- Create, assign, track, and follow up on facility and maintenance work orders to support timely completion and appropriate documentation.
- Monitor open, overdue, and completed work orders and work with Maintenance, Engineering, and other stakeholders to address outstanding activities.
- Maintain accurate PM schedules, equipment information, work-order documentation, maintenance records, and other facility-related records.
- Coordinate and maintain inventory of maintenance parts, spare parts, consumables, and critical facility components.
- Monitor parts inventory levels and maintain appropriate stocking levels to ensure critical materials are available for planned and unplanned maintenance activities.
- Receive, organize, label, store, issue, and track maintenance parts and supplies while maintaining an orderly and efficient parts-storage area.
- Maintain accurate parts and inventory information within applicable computerized maintenance management systems (CMMS), inventory systems, or other site systems.
- Perform routine inventory counts and reconcile discrepancies between physical inventory and system records.
- Work with Maintenance and Engineering to identify critical spare parts based on equipment requirements, maintenance history, operational needs, and replacement lead times.
- Identify obsolete, damaged, excess, or slow-moving inventory and coordinate appropriate actions in accordance with site procedures.
- Support continuous improvement of parts-room organization, inventory accuracy, material identification, stocking practices, and inventory-control processes.
- Assist with planning and coordinating maintenance activities to minimize disruption to site operations.
- Support facility inspections, equipment-related activities, building maintenance, and day-to-day facility operational needs.
- Assist with space planning, workplace modifications, office moves, furniture installations, equipment relocations, and other facility changes as required.
- Maintain accurate facility and space information and coordinate activities with affected departments to minimize disruption to business operations.
- Work collaboratively with Facilities, Engineering, Maintenance, EH&S, Operations, Quality, IT, Sourcing, and other internal functions to support site needs and facility initiatives.
- Coordinate with external service providers and contractors as necessary to complete specific maintenance or facility activities.
- Support facility projects, equipment installations, maintenance activities, and continuous improvement initiatives.
- Monitor work-order, maintenance, asset, and inventory information to identify recurring issues, trends, and opportunities for improvement.
- Develop and maintain reports, metrics, and documentation that support maintenance planning, inventory management, facility performance, and continuous improvement.
- Assist with facility and maintenance-related audits, inspections, documentation reviews, and corrective actions.
- Maintain facility, maintenance, and inventory records in an organized and audit-ready condition.
- Support compliance with applicable site procedures, quality requirements, cGMP requirements where applicable, and Environmental Health & Safety (EH&S) standards.
- Identify and support improvements that enhance equipment reliability, maintenance effectiveness, inventory accuracy, workplace organization, safety, and overall facility performance.
- Perform additional facility-related responsibilities and support site initiatives as business needs require.

Qualifications

Education

- High school diploma or equivalent.
- Relevant technical training or certifications related to facilities, maintenance, inventory management, or building operations may be applicable.

Experience

- Experience in facilities, maintenance operations, manufacturing support, inventory management, materials management, or a related environment.
- Experience coordinating preventive and corrective maintenance activities and supporting work-order processes.
- Experience maintaining maintenance parts, spare-parts, MRO, or similar inventory.
- Experience using computerized maintenance management systems (CMMS), inventory-management systems, or work-order systems.
- Experience supporting facility projects, equipment installations, workplace modifications, or space-planning activities.
- Experience working within established procedures and documentation requirements in an operational, manufacturing, laboratory, or regulated environment.

Knowledge

- Knowledge of preventive maintenance practices, work-order administration, and general facility operations.
- Knowledge of inventory-control principles, including inventory accuracy, cycle counting, material identification, stocking levels, and critical-spare management.
- General knowledge of building systems, equipment maintenance, and facility support functions.
- Understanding of documentation and recordkeeping practices.
- Knowledge of Environmental Health & Safety (EH&S) requirements and safe work practices.
- Familiarity with cGMP requirements and quality systems where applicable to site operations.
- Working knowledge of Microsoft Office applications and familiarity with CMMS, inventory, and facility-management systems.

Work Environment

This is an onsite position requiring regular interaction with Facilities, Maintenance, Engineering, Operations, and other site personnel. The role may require work in office, laboratory, manufacturing, warehouse, mechanical, maintenance, and parts-storage areas depending on site requirements.

The Facilities Coordinator is expected to follow all applicable Thermo Fisher Scientific policies, procedures, quality requirements, security requirements, and EH&S standards while performing assigned responsibilities.

Compensation and Benefits
The hourly pay range estimated for this position based in Connecticut is $34.00–$38.00.
