About the Position

The Administrative Assistant will support the day-to-day administrative and workplace needs of Tricon’s headquarters in Houston, helping ensure an organized, efficient, and welcoming environment for employees and visitors. This is a hands-on role requiring strong initiative, judgment, and follow-through, with responsibility spanning office operations, travel, events, vendors, employee support, and general administration.

The successful candidate will work closely with the local administrative team and Global Administrative and Facilities Manager and may take on broader responsibility for coordinating local administrative priorities and providing day-to-day guidance to the team.

Responsibilities

- Support day-to-day office operations and proactively address administrative and workplace needs as they arise

- Ensure the kitchen, meeting rooms, shared spaces, and office supplies are organized, stocked, and ready for employees and visitors

- Coordinate office lunches, catering, food and beverage supplies, and other workplace needs

- Manage relationships with office vendors, maintenance providers, building management, and other service partners

- Arrange domestic and international business travel, including flights and hotels, through Navan and other booking channels as needed

- Assist employees with visa-related matters and travel documentation

- Coordinate internal meetings, employee events, special projects, and external events or conferences

- Provide administrative and operational support to executives and employees as needed

- Coordinate invoices, expenses, purchase documentation, and related administrative records

- Support employee onboarding, including workplace preparation and office access arrangements

- Partner with the Office Coordinator and Global Administrative and Facilities Manager to coordinate administrative and workplace responsibilities

- Help organize and prioritize the work of the local administrative team, providing day-to-day guidance and follow-up as needed

- Identify opportunities to improve administrative processes, clarify responsibilities, and increase efficiency

- Provide coverage and support across administrative responsibilities during absences, busy periods, or special projects

- Take ownership of assignments and follow them through to completion with limited oversight

Experience & Qualifications

- 5+ years of experience in an administrative assistant, executive assistant, office administration, workplace operations, or similar role

- Prior experience serving as a lead administrative resource is preferred; supervisory experience is a plus

- Strong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment

- Proactive, hands-on approach with a willingness to handle both routine administrative responsibilities and more complex assignments

- Strong interpersonal and communication skills with the confidence to work effectively with executives, employees, vendors, and external partners

- Demonstrated initiative and ability to identify and address needs without requiring detailed direction

- Strong judgment, discretion, and professionalism when handling confidential or sensitive matters

- Excellent attention to detail with a high level of accountability and follow-through

- Collaborative and team-oriented approach with flexibility to support responsibilities across the administrative function

- Strong problem-solving skills and ability to independently resolve issues or escalate them appropriately

- Proficiency in Microsoft Office; experience with Navan or similar travel and expense platforms is a plus

- Experience supporting a global or multinational organization is a plus
