Job Title: Logistics Coordinator Job Description
The Logistics Coordinator plays a key role in ensuring timely, accurate, and compliant movement of kits and specimens across domestic and international locations. This role operates in a fast-paced environment, managing multiple competing priorities while delivering excellent customer service and proactive problem-solving support to internal teams and external client sites.
Responsibilities
- Create and manage FedEx shipping labels for kit shipments, ensuring accuracy and timely dispatch.
- Schedule and coordinate one-time carrier pickups to meet operational timelines.
- Generate and distribute pickup links and detailed shipping instructions to client sites.
- Monitor shipment status and proactively address delays, delivery exceptions, and other issues.
- Coordinate urgent and time-sensitive specimen shipments to support laboratory operations.
- Investigate lost, delayed, or missing kits and determine root causes.
- Open and manage cases with FedEx and other transportation providers to resolve shipment issues.
- Maintain clear and organized documentation related to shipment investigations and resolutions.
- Escalate critical shipment issues to appropriate operational leadership when necessary.
- Track logistics KPIs and identify recurring service issues to support performance improvement.
- Monitor international kit shipments and ensure they move efficiently through customs and transit.
- Coordinate commercial invoices and customs documentation for international shipments.
- Communicate directly with carriers to resolve customs holds and clearance issues.
- Ensure compliance with shipping requirements and applicable regulations for domestic and international logistics.
- Support import and export documentation processes to maintain regulatory compliance.
- Investigate samples received without proper documentation and clarify discrepancies.
- Trace specimen history back to originating clients or collection sites to ensure accurate records.
- Coordinate with accessioning and laboratory teams to obtain missing information and documentation.
- Maintain shipment and specimen tracking records in an organized and accessible manner.
- Assist with administrative and operational logistics projects as assigned by leadership.
- Serve as a point of contact for shipment-related inquiries from internal teams and external client sites.
- Partner closely with Supply Chain, Laboratory Operations, Client Services, and Commercial teams to support end-to-end logistics.
- Communicate professionally with external client sites and carrier representatives to resolve issues and provide updates.
- Support process improvement initiatives designed to enhance specimen logistics and overall customer experience.
Essential Skills
- At least 5 years of logistics experience in a fast-paced environment.
- Hands-on experience with international shipments, including customs and documentation processes.
- Practical experience coordinating shipments with FedEx and other transportation providers.
- Strong customer service skills with the ability to communicate clearly and professionally.
- Proven problem-solving abilities and a proactive approach to resolving logistics issues.
- Experience in supply chain and logistics coordination, including shipment tracking and issue resolution.
- Accurate data entry skills and attention to detail in documentation and record-keeping.
- Experience with dispatch, freight, and third-party logistics coordination.
- Knowledge of transportation and inventory logistics, including inventory control and order entry.
- Administrative and clerical skills to support operational logistics and documentation.
- Proficiency with Microsoft Excel for tracking shipments, KPIs, and logistics data.
Additional Skills & Qualifications
- Experience working with NetSuite or similar ERP systems (NetSuite preferred).
- Background in supply chain operations supporting laboratory or healthcare environments is beneficial.
- Ability to collaborate effectively with cross-functional teams including Supply Chain, Laboratory Operations, Client Services, and Commercial.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Comfort working with courier and carrier representatives to resolve shipping and customs issues.
- Experience supporting process improvement initiatives in logistics or supply chain settings.
Work Environment
This is a strictly temporary role supporting laboratory supply chain and logistics while a supply chain lead is being recruited. The position is based in Gaithersburg, MD, with a hybrid schedule: onsite Tuesday through Thursday and remote work on Monday and Friday. Standard hours are 8:30 a.m. to 5:00 p.m. with a 30-minute lunch break. The role supports laboratory operations and works closely with operations leadership and cross-functional teams in a professional, detail-oriented environment that relies on shipping platforms, carrier systems, and tools such as Microsoft Excel and ERP software. The setting requires comfort with both office-based administrative work and coordination of time-sensitive specimen logistics.

Pay and Benefits
The pay range for this position is $33.00 - $35.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
