Program Description:
Hive Health Services is a service of Guelph Community Health Centre (GCHC ), with locations in Guelph, Kitchener, and Cambridge. We provide
compassionate wrap-around care for people living with HIV, people accessing gender-affirming care, and people seeking preventive HIV care, including PrEP and PEP. Our client-centred services are delivered by an interdisciplinary team that work collaboratively to support each person’s health and well-being. The clinical team includes physicians, nurse practitioners, and registered practical nurses who partner with GCHC’s social workers, dietitians, health guides, and cultural interpreters to provide clients with the best possible care.
Report ing to the Clinic Supervisor, the Health Services Receptionist acts as the primary contact between Hive Health Services clients and members of the clinic team . Health Services Receptionist s
demonstrate a courteous, professional manner with sensitivity for our diverse client needs .
Including, but not limited to client HIV status, gender identity, sexuality, race or ethnicity, housing, language, and others .
Principal Job Duties:
- Schedule client appointments including arranging interpretation services as required .
- Receive/greet visitors and clients
- Answer incoming calls, direct clients, and process messages .
- Make outgoing calls to arrange follow-up appointments; notify clients of upcoming appointments with the G CHC, contact specialists, provide instructions for tests when required ; reschedule appointments; obtain records/reports, etc.
- Complete referrals and send relevant information to specialists for diagnostic tests; receive incoming information regarding appointments with specialists via fax/phone and notify clients .
- Maintain electronic medical records
- Manage and check clinical inbox for directions and tasks from practitioners and complete appropriate follow-up .
- Provide clerical services, including inputting current client registration, enrollment status for new clients, and updating client demographics.
- Open and close the clinic and ensure the clinic is well maintained in an orderly fashion and all pertinent client information is securely locked up at the end of the workday.
Knowledge, Skills, and Abilities:
- Grade 12 diploma, Medical Office Assistant diploma or certificated is an asset/recommended
- High proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- At least 1 year experience working with customers and handling a fast-paced office environment, preferably in a health care setting
- Experience with Electronic Health Records is an asset
- Strong customer service skills especially as they related to our priority populations
- Ability to multitask and work independently
- Effective written and oral communication skills
- Effective time management, decision making and organizational skills
- A good team member and supportive of interdisciplinary practice.
- High level of confidentiality
- Work with other staff to implement improvements and efficiency
