SUMMARY
The Payroll Manager is responsible for managing the day-to-day payroll operations, ensuring accurate and timely processing of payroll for all employees. This role supervises payroll staff, supports compliance with federal, state, and local regulations, and maintains payroll processes and procedures. The Payroll Manager partners with Human Resources and Finance to ensure payroll data accuracy, proper system functionality, and effective payroll reporting. This position also handles escalated payroll issues, supports audits, and assists in maintaining compliance with payroll laws and company policies.
RESPONSIBILITIES
- Manage daily payroll operations, ensuring accurate and timely payroll processing
- Supervise and support payroll team members
- Assist in developing and maintaining payroll policies and procedures
- Oversee payroll processing activities, including time and attendance, wage calculations, and deductions
- Partner with Human Resources to ensure employee data and compensation changes are accurately reflected
- Maintain payroll systems and ensure data integrity, confidentiality, and security
- Ensure compliance with federal, state, and local payroll tax regulations
- Support preparation and distribution of payroll reports, pay statements, and year-end tax documents (W-2s)
- Address and resolve payroll-related questions, discrepancies, and escalations
- Monitor changes in payroll laws and support implementation of updates
- Assist with payroll system improvements and process enhancements
- Maintain documentation of payroll processes and controls
- Support year-end payroll activities, reconciliations, audits, and reporting
- Partner with Finance and Accounting on payroll-related reporting
- Prepare basic payroll reports and metrics for leadership review
- Oversee payroll deductions, garnishments, and benefit contributions
- Coordinate with external payroll vendors as needed
- Conduct routine audits of payroll data for accuracy and compliance
- Promote a culture of accuracy, confidentiality, and accountability
- Perform additional duties as assigned by management
QUALIFICATIONS
- 18 years of age or older
- Must be legally authorized to work in the country of employment.
- Ability to work in office, onsite, Monday–Friday
- Must hold a valid driver's license.
- Communicate effectively in English (reading, writing, speaking)
- Bilingual in English/Spanish a plus
- 5–7 years of payroll experience (instead of 10+)
- Supervisory experience preferred
- CPP certification preferred (not required)
- Experience with multi-location payroll preferred
- Strong working knowledge of Microsoft Office (Excel, Word, Outlook)
- Strong attention to detail and organizational skills
- Ability to communicate effectively with employees and leadership
- Pass a background check and drug screen
- Flexibility to work extended hours when needed
