We’re looking for an organized, service-focused Administrative Assistant to join our Disability Management Services Office (DMSO) team at our Winnipeg Head Office on a 12-month contract.
In this role, you’ll provide important administrative and front-line support that helps our team deliver timely and effective service to employees and clients. You’ll respond to inquiries, process correspondence and invoices, maintain accurate information in our systems, and coordinate documents and records.
What you will do
- Respond to incoming inquiries through the department’s toll-free telephone line and provide professional, helpful and respectful service.
- Process invoices and enter required information to support timely payment.
- Open, sort, prepare and distribute incoming mail.
- Scan and upload documents into the document management system and assign tasks to the appropriate team members for follow-up.
- Prepare and send correspondence to employees, clients and service providers.
- Maintain accurate employee and client information in Canada Life systems, including contact and banking information.
- Review returned mail, investigate address information and coordinate resending when appropriate.
- Coordinate the distribution of files requested from the Records Centre.
- Maintain accurate and organized records while handling sensitive and confidential information with care.
- Work collaboratively with team members and contribute to an inclusive and respectful work environment.
- Provide additional administrative support based on evolving team and business needs.
What you will bring
- Experience in administrative support, customer service, data entry or a related area is an asset.
- Comfort using Microsoft Outlook, Word and Excel, with the ability to learn new systems and technology.
- Strong keyboarding and data-entry skills with a focus on accuracy.
- Strong organizational and time-management skills, with the ability to prioritize multiple tasks.
- Clear, professional and respectful written and verbal communication skills.
- A service-focused approach and the ability to work effectively with people from a variety of backgrounds and perspectives.
- Strong attention to detail and problem-solving skills.
- Ability to work independently while contributing to a collaborative and supportive team.
- Ability to handle sensitive and confidential information with discretion.
- Adaptability and a willingness to learn.
- Reliability Status Security Clearance – this can only be completed with candidates who receive an offer of employment. The base salary for this position is between $34,900 - $41,000 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc). If you are selected to move forward in our recruitment process, your recruiter will be able to discuss additional details of our total rewards program with you.
