Job Description
The Information Technology organization is seeking an experienced, proactive, and highly organized Administrative Associate IV to support SMS IT leadership. This individual will provide direct administrative support to IT Directors and Managers, ensuring smooth day‑to‑day operations and contributing to successful team execution. This role reports to the Administrative Manager and provides support across the broader IT leadership team.
The Operations Strategic Capabilities Unit plays a fundamental role in enabling efficient business and program execution – from strategic capital investments, industrial operations and an efficient supply chain, to state-of-the-art manufacturing and test operations and top-notch facilities management.
What You’ll Do:
- Leadership Support Provide administrative support to SMS IT leadership including IT Directors and Managers.
- Manage complex calendars, resolve conflicts, and schedule meetings with conference rooms and video requirements.
- Schedule and coordinate team meetings, 1:1s, vendor meetings, and onsite hosting.
- Prepare written documents, presentations, and communication materials.
- Coordinate milestone celebrations, all‑hands meetings, leadership meetings, and team appreciation events.
- Interview, Onboarding & Offboarding Coordinate candidate interviews as the administrative point of contact.
- Facilitate IT onboarding tasks including equipment requests, MAC tickets, nameplates, and distribution list updates.
- Manage offboarding tasks such as Term MAC actions.
- Support training requests, approvals, registration, and payment.
- Operational & Team Support Coordinate moves, equipment requests, and MAC tickets for IT personnel.
- Submit space requests and support space planning.
- Order office supplies and maintain onsite inventory.
- Support onsite shipping needs, visitor coordination, and conference room reservations.
- Assist with IT facilities service tickets.
- Coordinate catering for onsite events, meetings, and visitors.
- Process expense reports and assist with travel bookings.
- Project & Cross‑Team Collaboration Contribute to IT projects, initiatives, and operational activities.
- Facilitate adoption of collaboration tools.
- Provide mentorship to junior administrative team members.
- Maintain positive working relationships across IT and cross-functional partners.
- Special Tasks Order flowers for employee occasions.
- Support intern coordination.
- Manage vendor onboarding processes including equipment and shipping.
- Maintain a regular and predictable work schedule.
- Establish and maintain effective working relationships within the department, the Strategic Business Units, Strategic Capabilities Units and the Company. Interact appropriately with others in order to maintain a positive and productive work environment.
- Perform other duties as necessary.
On-Site Work Environment: This position requires regular in-person engagement by working on-site three or more days each normally scheduled week in the primary work location. Travel and local commute between company campuses and other possible non-company locations may be required.
Working Conditions:
- Work is performed in an office environment, laboratory, cleanroom, or production floor.
Required Education, Experience, & Skills
- HS Diploma and 3 or more years of related experience.
- Each higher-level degree, i.e., Associate’s, Bachelor’s Degree, Master’s Degree or Ph.D., may substitute for additional years of experience.
- Related certifications may count towards years of related experience.
- Related technical experience may be considered in lieu of education. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
- Communication Skills: Able to respond to routine and non-routine inquiries clearly and professionally.
- Organizational Skills: Able to manage multiple priorities, calendars, and deadlines effectively.
- Initiative and Independence: Works with autonomy to manage tasks and proactively identify needs.
- Professional Judgment: Applies discretion and good judgment, especially with confidential information.
- Technical Proficiency: Comfortable with Microsoft Office, Teams, Outlook, collaboration tools, and IT ticketing processes.

Pay Information
Full-Time Salary Range: $55304 - $88487
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
