About the Role
We are looking for a proactive and people-oriented professional to join our team as Site Reception & Administrative Support .
In this role, you will be one of the key points of contact for employees, visitors, suppliers, and new joiners, helping ensure a welcoming, organized, and efficient experience at our site. You will also support day-to-day administrative activities, coordinate local services and suppliers, and contribute to site events and initiatives.

What You’ll Do
- Welcome and assist employees, visitors, suppliers, and new joiners, following site security and access procedures
- Manage incoming calls and direct inquiries to the appropriate teams
- Receive, register, and distribute packages, correspondence, and deliveries
- Manage site access, including access cards, permissions, and visitor requirements
- Monitor office and cafeteria supplies, including inventory and purchasing coordination
- Serve as a point of contact for site services such as transportation, cleaning, parking, lockers, meeting rooms, and common areas
- Support the coordination of site activities, including celebrations, Town Halls, meetings, and internal events
- Provide administrative and operational support to Site Operations and HR
- Coordinate with suppliers and follow up on services, deliveries, and operational requests
- Support the onboarding of new employees by coordinating access, workspace, supplies, and initial guidance
- Participate in the site emergency response team, including drills and prevention activities
- Support additional administrative projects and site initiatives based on business needs
What We’re Looking For
- 6 months to 1 year of experience in reception, administrative support, office administration, accounting, or similar roles
- Internships or professional internships are considered relevant experience
- Technical degree or studies in Secretarial Administration or a related field
- Currently pursuing studies in Business Administration, Industrial Engineering, Finance, or a related field is a plus
- Intermediate to advanced knowledge of Microsoft Office
- Basic First Aid knowledge is desirable
- Strong communication and customer service skills
- Ability to manage multiple priorities and stay organized
- Attention to detail and a proactive, solution-oriented mindset
- Ability to work effectively as part of a team
- Comfortable working in a fast-paced environment and handling stressful situations with professionalism
- Strong sense of responsibility, integrity, and initiative
- Ability to handle confidential and sensitive business information appropriately

- Availability to occasionally support exceptional situations outside regular working hours
- This role requires a high level of organization, confidentiality, and customer focus
