Job Details
The Community Learning & Development Support Assistant role is based within Community Learning & Development and provides clerical and administrative support to Community Education Workers and local CLD teams. The post is focused on ensuring the smooth day-to-day operation of community-based services while delivering a responsive, customer-focused service to Glenrothes Area residents and learners.
Key responsibilities include:
- Providing comprehensive administrative support including document preparation, minute taking, scheduling meetings, maintaining records, processing financial transactions, and handling correspondence.
- Maintaining databases and information systems to produce statistical returns, reports, and performance information.
- Managing appointment diaries, travel arrangements, meetings, and events for staff and volunteers.
- Operating reception services and acting as a first point of contact for customers, handling enquiries by telephone, email, and in person.
- Supporting community projects by creating and maintaining project files and learner records.
- Producing regular statistics and management information for Community Education Workers and Area Team Managers.
- Updating public-facing information on community learning websites and informing learners of course changes and opportunities.
- Supporting community centre management committees with financial administration, bookings, invoices, cash handling, and record keeping.
- Assisting and signposting vulnerable learners to local support services where appropriate.
- Managing bookings for community facilities and minibuses and dealing with related enquiries

The Person
Applicants should demonstrate a combination of administrative experience, customer service skills, and effective organisational abilities.
- Educated to SCQF Level 4 (National 4, Standard Grades, O Grades, or equivalent qualification).
- Experience of working in an office environment.
- Experience of using IT applications and software packages effectively.
- Numerical skills.
- Experience of maintaining confidentiality.
- Time management skills.
- Customer service and customer care skills.
- Strong verbal and written communication skills.
- Organisational skills.
- Experience of working under pressure while continuing to achieve results.
