What does the role look like?

The HR Operations Lead   is a senior, hands-on builder responsible for owning HR operations in Poland end-to-end while coordinating and driving operational excellence across the Group's international entities. The role directly manages the employee lifecycle, compliance, payroll inputs, HRIS data, benefits, and employee support in Poland, while partnering with local HR contacts and external providers across Cyprus, the UK, Dubai, and other locations.

Reporting to the Group Head of HR, the role serves as the Group's operational anchor, ensuring HR processes are consistent, compliant, scalable, and reliable across all entities.

A builder personality, driven, results-oriented, and tech-savvy, with a genuine interest in modernizing how HR work gets done through automation, HR technology, and AI.

Comfortable being the sole HR representative on-site in Poland while collaborating with international stakeholders and external providers. Someone who enjoys creating structure, solving problems independently, and taking ownership of the operational backbone of a growing, multinational organization.

Key Responsibilities:

Poland HR Operations & Service Delivery

- Act as the primary HR point of contact for employees and managers in Poland, overseeing the entire employee lifecycle from onboarding to offboarding.

- Manage onboarding activities including employment contracts, occupational medical examinations, BHP training, ZUS registration, PPK enrolment or opt-out processes, and Day 1 readiness.

- Maintain personnel files in accordance with Polish legal requirements, ensuring accurate documentation and collection of employment certificates.

- Administer annual leave, sickness absence, and statutory employee entitlements in compliance with the Polish Labour Code.

- Prepare and validate monthly payroll inputs, including documentation supporting authorial-rights arrangements where applicable.

- Manage relationships with external payroll, legal, HR, and health & safety providers in Poland, ensuring agreed service levels and compliance standards are met.

- Handle first-line employee relations matters and HR queries, escalating complex cases where appropriate.

Group Coordination & Service Delivery

- Coordinate HR operations across Cyprus, the UK, Dubai, and other Group entities, ensuring consistency in HR processes, documentation, and service delivery.

- Establish clear operational standards, ownership structures, and escalation procedures across the HR function.

- Report on operational performance, compliance risks, resource gaps, and data quality issues to the Group Head of HR on a regular basis.

Documentation & Compliance

- Own the full employment documentation lifecycle across all entities and engagement types, from drafting and execution through storage and record maintenance.

- Support compliance initiatives, audits, background screening processes, GDPR requirements, and data security reviews.

- Maintain HR policies, procedures, and employment-related documentation in alignment with local legislation and internal requirements.

Data Integrity & Benefits Administration

- Ensure high standards of employee data accuracy, document completeness, and audit readiness across the HRIS and employee records.

- Maintain a centralized and reliable contract and document repository across the Group.

- Coordinate and administer employee benefits programs across entities, liaising with local providers, brokers, and stakeholders.

Process Improvement & HRIS

- Own the HRIS as the Group's system of record, including workflows, permissions, configuration, and data quality management.

- Drive process standardization, automation, and employee self-service initiatives while maintaining governance and compliance requirements.

- Prepare and validate payroll-related inputs across entities, including new hires, leavers, contractual changes, and leave records.

- Partner with Payroll, Benefits, Finance, and other stakeholders on payroll processes, operational improvements, and HR projects.

What do you need to succeed in this role?

- 6+ years of progressive experience in HR Operations, People Operations, or a related HR discipline.

- Minimum 3 years of experience managing HR operations in Poland.

- Previous experience supporting multiple entities or international HR environments.

- Strong practical knowledge of Polish labour law, personnel files, working time regulations, ZUS, PPK, occupational medicine, and BHP requirements.

- Knowledge of GDPR requirements and employee data protection practices.

- Strong HRIS and digital systems experience.

- Advanced Microsoft Excel skills and confidence working with data and reporting.

- Experience designing, documenting, optimizing, and automating HR processes.

- Fluency in Polish and English, both written and spoken.

- Ability to work independently, prioritize effectively, and manage multiple stakeholders in a fast-paced environment.

- Strong problem-solving, organizational, and communication skills.

- A genuine interest in technology, automation, and AI-driven process improvement.
