About this role

Key Responsibilities

- Support demand planning activities and maintain accurate forecasts to guide purchasing decisions.

- Create, track, and update purchase orders based on supply needs and organizational priorities.

- Monitor inventory levels to help prevent shortages and maintain appropriate stock levels.

- Build and maintain positive relationships with suppliers and internal stakeholders.

- Negotiate pricing with vendors and assist with resolving delivery and order-related issues.

- Monitor order status and support on-time delivery of materials.

- Prepare purchasing and inventory reports and analyze data to identify trends and process improvements.

- Collaborate with internal departments and vendors to coordinate supply plans, timelines, and material requirements.

- Support improvements to purchasing systems, procedures, and reporting processes.

- Provide clear communication, timely follow-up, and effective day-to-day coordination.

- Support and communicate purchasing procedures as needed, including assisting with training.

- Maintain confidentiality and accurate records in accordance with organizational policies.

Qualifications & Requirements

- Minimum of 3 years of experience in purchasing, procurement coordination, supply chain, or a related field.

- Experience creating and managing purchase orders.

- Working knowledge of forecasting, inventory management, supply planning, and material coordination.

- Experience with vendor communication and price negotiation.

- Strong organizational, analytical, and problem-solving skills.

- Excellent written and verbal communication skills.

- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

- Proficiency with QuickBooks Online and other purchasing, reporting, or inventory management tools.

- Strong attention to detail and accuracy in data entry and reporting.

- Ability to work independently with limited direct supervision.

- Ability to maintain professional relationships with internal teams and external suppliers.

Additional Requirements

- Maintain a valid driver's license and acceptable driving record.

- Successfully complete agency-required background, drug, and TB screenings.

- Ability to interact respectfully and professionally with individuals from diverse backgrounds.

- Ability to work effectively in an environment with interruptions and varying environmental stimuli.

- Demonstrate commitment to confidentiality, teamwork, and organizational policies.
