What We’re Looking For :
A highly organized and proactive Sales & Marketing Coordinator who will play a key role in supporting our Sales Managers and the Director of Sales & Marketing. You will ensure seamless coordination of events, manage critical communications, and deliver exceptional service to both internal teams and external clients. What You’ll Do :
Sales & Marketing Coordination
- Support Sales Managers and the Director of Sales & Marketing with administrative tasks, including contract preparation, documentation, client correspondence, marketing support, and sales coordination.
- Coordinate administrative tasks and support sales-related activities to ensure efficient operations and exceptional client service.
Communication Management
- Draft, review, and distribute correspondence including emails, memos, contracts, and event details to clients and internal teams.
- Maintain accurate documentation and ensure timely communication of updates.
Reservation & Client Support
- Coordinate guest reservations, special requests, and amenities to guarantee an exceptional experience.
- Qualify leads, assist clients with group details, and conduct site visits when required.
Reporting & Administration
- Prepare regular reports and maintain organized records for events and client interactions.
- Support operational teams with administrative tasks to ensure smooth workflow.
Team Collaboration
- Partner with Operations and Restaurant teams to facilitate successful execution.
- Act as a liaison between departments to maintain alignment and deliver exceptional service.
Other Responsibilities
- Demonstrate regular and reliable attendance.
- Attend/complete all mandatory training sessions and meetings.
- Other duties as assigned.
Your Experience Includes :
Education :
- High School Diploma or equivalent required; Associate’s or Bachelor’s degree in Hospitality Management, Business Administration, or related field preferred.
Experience :
- Minimum 2 years of administrative or clerical experience, preferably in hospitality.
- Customer service or sales support experience is a plus.
- Previous exposure to event coordination, catering, or sales departments preferred.
Technical Skills :
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with CRM systems or sales platforms such as Delphi, Opera, or Salesforce preferred.
- Knowledge of event management software and property management systems (PMS) beneficial.
Physical Requirements :
- Ability to sit for extended periods, occasional lifting up to 25 lbs, and mobility between meeting rooms and office areas.
Certifications :
- None required; certification in administrative or office management is a plus.
