Travel Manager

Position Summary

The Construction Travel Manager is responsible for coordinating and managing company-wide travel for employees and new hires traveling to project sites across the country. This position will handle hotel accommodations, flights, rental vehicles, and other travel needs while ensuring arrangements are accurate, cost-effective, and communicated clearly.

This role will work closely with Resource Management, Field Operations, project teams, and employees to coordinate travel based on project needs, start dates, transfers, and changing manpower requirements. The ideal candidate is highly organized, responsive, and comfortable managing a high volume of travel requests in a fast-paced construction environment.

Key Responsibilities

- Coordinate and book travel for employees, new hires, and other team members traveling to company projects.

- Book and manage hotels, flights, rental vehicles, and other transportation as needed.

- Coordinate new-hire travel based on orientation dates, project assignments, and start dates.

- Work closely with Resource Management to ensure new hires have travel arrangements in place before reporting to their assigned project.

- Support employee transfers and mobilizations between construction projects.

- Maintain accurate travel itineraries, confirmation numbers, hotel information, and employee travel records.

- Send employees clear travel confirmations and instructions before departure.

- Manage travel changes, cancellations, extensions, and last-minute requests.

- Coordinate hotel extensions for employees remaining on projects longer than originally scheduled.

- Assist employees when travel issues arise, including canceled flights, hotel problems, rental car issues, or changes in project schedules.

- Communicate with project leadership regarding employee arrival dates and travel arrangements when needed.

- Track company travel expenses and help identify opportunities to reduce unnecessary travel costs.

- Review travel arrangements for accuracy and compliance with company policies.

- Maintain relationships with hotels, rental car companies, airlines, and other travel vendors.

- Assist with negotiating preferred hotel rates and corporate travel agreements when applicable.

- Track recurring travel issues and help improve the company's overall travel process.

- Maintain confidentiality when handling employee information and travel details.

- Provide regular travel reports or updates to leadership as requested.

Qualifications

- 2+ years of experience in travel coordination, construction administration, workforce coordination, logistics, or a similar role preferred.

- Experience supporting a construction or traveling workforce is strongly preferred.

- Ability to manage a high volume of travel requests and frequent last-minute changes.

- Strong organizational and time-management skills.

- Excellent communication and customer-service skills.

- Strong attention to detail and ability to maintain accurate records.

- Comfortable working with employees at all levels, from new hires and field employees to project and corporate leadership.

- Ability to remain organized and responsive in a fast-paced environment.

- Proficiency with Microsoft Office, Outlook, Excel, and travel booking platforms.

- Experience working with workforce management, HR, recruiting, or construction management systems is a plus.

Preferred Skills

- Construction industry experience.

- Experience coordinating travel for employees working across multiple states and project locations.

- Knowledge of employee mobilization and construction project staffing.

- Experience managing corporate hotel, airline, and rental car accounts.

- Strong problem-solving skills and the ability to quickly adjust plans when project schedules change.

- Ability to balance employee needs with company travel budgets and policies.
