About the Role:

The Office Administrator is the welcoming first face of the Din Tai Fung Central Kitchen, setting the tone for every guest, candidate, vendor, restaurant operator, and team member who enters the office. This full-time, onsite role (Monday to Friday, 10:00 AM to 5:00 PM) pairs genuine front-desk hospitality with the behind-the-scenes coordination that keeps the office running: greeting and directing visitors, managing mail and deliveries, supporting catering and office events, and helping keep the workplace stocked, organized, and running smoothly. It's an ideal fit for someone personable and detail-oriented who takes pride in creating a welcoming experience while keeping a busy office organized and running smoothly.

Responsibilities:

- Front desk reception, check-in & visitor experience: Greet, sign in and badge all guests, candidates, vendors, operators and team members as first point of contact; notify hosts of in-person arrivals (workplace chat); escort and provide white-glove care to high-priority and C-suite guests; keep the reception/lobby presentable; serve as a DTF brand & culture ambassador.
- Administrative support (Managers and Plant Director): Data entry, filing, scanning, copying; onboarding/welcome-material prep; provide administrative support to the Executive Assistant(s), including delegated and ad hoc tasks as assigned; help executive meetings start smoothly.
- Office & PPE Supply Management: Maintain inventory and order office supplies, breakroom necessities, and PPE (boots, cutting gloves, back braces); oversee uniform and first-aid supply coordination with CINTAS.
- Mail, packages & courier coordination: Receive, sort and distribute mail and parcels; schedule and receive couriers; sign for and secure deliveries; notify recipients via workplace chat.
- Catering & office event support: Plan, order and coordinate catering for office events and meetings; manage headcounts, setup, catering deliveries and cleanup; support event logistics.
- Vendor & Facility Coordination: Manage external vendor relationships including Ecolab (sanitation) and Orkin (pest control); oversee office and warehouse deliveries.
- Security, safety & confidentiality: Serve as the front-desk safety checkpoint and emergency point person; monitor and control building access; safeguard confidential visitors, documents and conversations with discretion.

Job Requirements:

- High school diploma or equivalent.
- Valid Food Handler's Card, or the ability to obtain one within the required timeframe.
- Ability to communicate effectively in English and Spanish, both verbally and in writing.
- Basic proficiency with Microsoft Office (Word, Excel, and PowerPoint) and general computer applications.
- Ability to work independently with minimal supervision while maintaining productivity and quality standards.
- Ability to follow written and verbal instructions and communicate information clearly and professionally with employees, management, and other departments.

Preferred Requirements:

- Previous leadership or supervisory experience in food manufacturing, food production, or a related manufacturing environment.
- Experience working in food manufacturing or production operations.
- Working knowledge of USDA regulations, HACCP principles, Good Manufacturing Practices (GMPs), food safety requirements, and product traceability systems.

Essential Functions:

- Follow and enforce company policies, food safety standards, Standard Operating Procedures (SOPs), and regulatory requirements.
- Protect confidential company information, including proprietary recipes, formulations, and operating procedures.
- Stand and walk for extended periods throughout scheduled shifts.
- Frequently bend, stoop, kneel, twist, reach, and perform repetitive hand and arm movements.
- Lift, carry, push, and pull up to 50 pounds on a regular basis.
- Work safely in varying environmental conditions, including wet floors and fluctuating temperatures ranging from refrigerated to hot production areas.
- Perform other job-related duties as assigned by management.
