About this role
The coordinator is responsible for supporting the Marine Professional Development Team in organizing and optimizing data collection and event planning relevant to professional development, performance and promotions.
Essential Functions:
- Responsible for maintaining and updating the technical database for Engine Junior Officers, Petty Officers, and Ratings, ensuring accurate and up-to-date records. Manages the collection, review, and secure storage of performance evaluations for Petty Officers, Ratings, and Junior Officers from Cadet Apprentice up to the rank of Junior First Engineer. Coordinates with vessels to obtain missing information, resolve discrepancies, and support professional development and promotion eligibility processes through clear and effective communication.
- Schedules and coordinates promotion interviews meeting for eligible candidates, liaising with onboard Managers when assigned to a vessel. When the candidate is on leave, collaborates with the appropriate stakeholders to ensure timely completion of the assessment and promotion process.
- Schedules and coordinates feedback sessions for candidates completing the Utilia Leadership Assessment and Marine Profile Assessment Report , ensuring timely communication, participant readiness, and effective follow-up.
- Compile and analyze data for quarterly bulletins intended for Senior Leadership. Design and format the bulletins in a clear, concise, and visually appealing manner. Ensure the bulletins accurately reflect the Department’s performance and strategic priorities.
- Provides administrative and logistical support for Senior Officer conferences, departmental meetings, and internal communications, including the preparation and delivery of PowerPoint presentations. Maintains an organized library of presentations and reference materials, and coordinates the collection, development, and distribution of supporting resources such as briefing documents, handouts, and talking points to ensure effective communication and professional presentation delivery.

Functioning as a bridge between administrative operations and strategic execution, the Coordinator ensures that accurate, timely, and actionable data informs decision-making across the organization.
- Problem solving: The Coordinator helps gather and organize data from both shore and fleet teams to support training, performance, and promotion planning. They solve problems like missing or conflicting information and scheduling issues to make sure everything runs smoothly.
- Impact: The Coordinator will play a key role in improving how the Marine Professional Development Team collects and uses data to support training, performance, and promotions. Their work will help set consistent standards across both shore and fleet teams, making professional development efforts more effective and aligned with business goals.

Essential/Minimal Qualifications:
- Associate’s degree required and Bachelors preferred in Business Administration, Education, Maritime Studies, or a related field.
- Advanced knowledge of Microsoft Office Suite. Expert-level proficiency in Microsoft PowerPoint including advanced features such as animations, transitions, master slides. Proven experience in designing and developing high-quality power point presentations for executive audiences.
- Demonstrated proficiency in Microsoft excel, in particular for: Data entry and formatting, formulas and functions, data analysis and visualization and data management.

- Strong organizational and time management skills with the ability to manage multiple projects/demands simultaneously and meet deadlines.
- Exceptional attention to detail and commitment to accuracy.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels.
- Highly organized individual accustomed to handle multiple demands and maintain the desired level of operational excellence and efficiency, detailed-oriented and able to prioritize tasks as required.
Essential Experience Required:
- 2–3 years of experience in administrative coordination, data management, or event planning.
- Preferred: Experience supporting professional development, or training programs. Familiarity with marine industry standards or working with fleet-based personnel.

Physical Demands : Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.
This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Carnival office in South Florida Monday through Thursday each week. Employees may work from their homes on Fridays.
