Position Summary
The Project Coordinator – Standard Procedures supports demolition and site preparation project execution by managing operational controls, compliance documentation, project systems, and administrative processes that directly impact schedule performance, labor accuracy, regulatory adherence, and cost tracking. This role ensures that project data, documentation, and reporting remain accurate, audit-ready, and aligned with Lindamood Demolition’s operational standards. This position plays a critical role in supporting project managers, field leadership, and executive teams by maintaining structured project systems, coordinating documentation workflows, communicating daily with the project management and field teams, and ensuring compliance with internal procedures and external regulatory requirements specific to demolition, commercial, aviation and heavy civil operations.
Key Responsibilities
Time & Quantity Compliance
• Review and audit daily timecards for accuracy and completeness across multiple projects for field crews
• Ensure correct quantities and phase codes are being used daily
• Ensure crews are making budget daily
• Coordinate corrections, issues, etc. with superintendents and foremen
• Support labor reporting requirements
Project Systems Administration
• Set up new site work projects within company project management systems
• Maintain cost codes, project structures, and scope updates aligned with project phases
• Support schedule updates and data accuracy within project platforms
• Ensure project documentation is organized, complete, and accessible for internal and external review
Field Coordination and Scheduling Support
• Communicate daily with the director, senior project manager and field team to align on priorities and site needs
• Prep and coordinate material, trucking, and LEED report backup documentation
• Track on-site delays and update project schedules accordingly
• Prepare/maintain/update the project schedule, and provide three week look-ahead schedules to the superintendent for distribution to the field team
Contract and Change Management
• Track and manage Requests for Information (RFIs)
• Track and manage submittals
• Maintain change order documentation and logs for scope adjustments, unforeseen site conditions, and regulatory
requirements
• Coordinate approvals, follow-ups, and documentation flow between project teams and clients
• Support alignment of scope changes with project budgets and schedules
Utility Coordination and Regulatory Compliance
• Coordinate utility locate requests including 811, municipal, and state requirements prior to demolition or excavation
• Maintain environmental, safety, and regulatory compliance records
• Support documentation related to permits, inspections, and regulatory agency requirements
• Maintain safety audits, jobsite documentation, and quality control records
• Ensure compliance tracking is current and properly documented for audit and project closeout
Procurement and Subcontractor Support
• Coordinate material, equipment, and hauling needs for demolition operations
• Support subcontractor scheduling, documentation, and compliance requirements
• Maintain delivery tickets, disposal records, and supporting documentation
• Assist with vendor and subcontractor documentation tracking including insurance and compliance records
Billing, Tracking, and Reporting
• Support billing and tracking of team activity and progress
• Prepare weekly project activity and cost reports
• Track committed versus actual costs across demolition phases
• Assist with variance identification and reporting
• Maintain project performance documentation for management review
• Support cost visibility related to labor, equipment utilization, hauling, and disposal
Administrative and Project Coordination Support
• Maintain organized project files and documentation systems
• Support project meetings, reporting, and communication workflows
• Coordinate information flow between field operations and office staff
• Assist project managers with operational tracking, compliance follow-ups, and documentation management
Qualifications
Education
• Associate’s or Bachelor’s degree in Construction Management, Business Administration, or related field experience
preferred
• Equivalent demolition or heavy civil industry experience may be considered
Experience
• Experience in demolition, construction administration, project coordination, or project support
• Experience managing project documentation, reporting, and compliance tracking in field-driven environments
• Familiarity with labor reporting, certified payroll, or field timekeeping preferred
• Experience supporting projects with regulatory oversight, permitting, or environmental compliance is highly desirable
Required Skills and Competencies
• Strong organizational and documentation management skills
• High attention to detail and accuracy in fast-paced field operations with ability to intemperate contract documents and plans
• Ability to manage multiple active projects simultaneously
• Working knowledge of demolition or heavy civil project workflows
• Proficiency with project management and administrative systems (BlueBeam, Procore, HCSS, Microsoft Office, P6,
Viewpoint and/or Spectrum)
• Strong communication and coordination skills across field and office teams
• Ability to maintain confidentiality of sensitive information
• Analytical thinking and problem-solving ability
