Job Summary

We are seeking an experienced Video Production Coordinator with an AI-first mindset to serve as the operational backbone of our fast-paced video team. In this role, you will take ownership of on-site shoot logistics and drive our downstream video execution pipeline using modern project management software (Asana preferred).

We need a seasoned coordinator who possesses a deep, intuitive understanding of video production realities and views generative AI and smart automation as key co-pilots in scaling operations. As an essential on-site presence, you will run production days, confidently guide executive and on-camera talent, optimize project workflows, and ensure our creative production moves smoothly from project intake through final delivery.

Your Impact

- On-Site Shoot Logistics & Coordination: Lead all day-of production logistics for on-site video shoots. Coordinate master schedules, manage studio and location setups, prepare gear and call sheets, and ensure high-visibility shoot days run seamlessly.
- Talent & Stakeholder Management: Serve as the primary on-site lead for on-camera talent, executives, and internal stakeholders. Provide a polished, high-touch experience from prep and briefing to final wrap.
- Workflow & Progression Management: Take ownership of video-specific project management tasks once the Creative Operations Manager converts new project requests into templatized workflows. Customize and adapt these templates within our primary project management tool (Asana) using your deep technical knowledge of video timelines to ensure tasks match the realistic scope and demands of each project.
- Status Reporting & Tracking: Meticulously track video project progression and maintain accurate status documentation. Confidently report on project milestones, timelines, and potential roadblocks during cross-functional prioritization meetings, working in lockstep with the Creative Operations Manager to keep deliverables on schedule.
- AI & Process Automation: Bring an AI-first operational mindset to the team. Proactively leverage AI tools and smart workflow automations to eliminate administrative friction and scale team output.
- Cross-Functional Collaboration: Partner seamlessly with the integrated creative operations team, in-house writers, editors, motion designers, illustrators, and product marketing teams to align creative assets, gather mandates, and maintain production momentum.
- Brand & Asset Management: Maintain high quality standards across all projects, ensuring produced assets adhere to brand guidelines, while managing content delivery and archiving across storage and distribution platforms (e.g., Iconik, YouTube, Brightcove).

Qualifications

- 5+ years of experience in video production coordination, broadcast, or creative agency environments.
- On-Site Production & Executive Presence: Demonstrated track record leading live shoot logistics, managing studio setups, and confidently interfacing with internal clients, external vendors, and executive-level on-camera talent.
- Deep Production Expertise & Project Management Mastery: Comprehensive knowledge of video production ecosystems, technical timelines, and task dependencies, paired with hands-on experience using enterprise project management platforms (e.g., Asana, Workfront, Etc). Direct Asana experience is preferred, but adaptability and mastery of project management workflows are what matter most.
- Cross-Functional Communication: Exceptional verbal and written communication skills with the confidence to articulate project statuses, flag roadblocks, and drive alignment in cross-functional prioritization meetings.
- AI-First Operational Mindset: An early-adopter orientation toward using modern AI tools and simple automations to streamline administrative workflows and improve operational speed.
- Basic Technical Familiarity: Working knowledge of video production ecosystems, video codecs, media management, and software like Adobe Creative Cloud (Premiere Pro, After Effects) and MAM/review platforms (Iconik) is preferred.
- Ownership & Adaptability: High attention to detail with a proactive, solution-oriented approach to navigating changing priorities and tight deadlines.

Compensation Disclosure

The compensation offered for this position will depend on qualifications, experience, and work location. For candidates who receive an offer at the posted level, the starting base salary (for non-sales roles) or base salary + commission target (for sales/com-missioned roles) is expected to be the annual range listed below.
