About the Role
The Rebates Finance Officer is responsible for the timely, accurate and complete entry of supplier rebate agreements into Enable, Sigma Healthcare's rebate deal management system. Working within the Commercial Finance team, you will partner closely with Category Buyers, Buying Assistants and other commercial stakeholders to ensure rebate arrangements are supported by the correct documentation, accurately recorded and progressed through the required approval workflow. This role plays an important part in strengthening financial controls and supporting an efficient end-to-end rebate process.
Role Responsibilities
- Enter new and amended supplier rebate agreements into Enable accurately and within agreed timeframes.
- Review supporting documentation to ensure information is complete and consistent with the rebate terms being entered.
- Maintain clear supporting documentation and audit trails for supplier rebate agreements.
- Progress agreements through Enable for approval by the appropriate deal owner and monitor outstanding approvals.
- Partner with Category Buyers and Buying Assistants to obtain the information and documentation required to establish rebate agreements.
- Proactively follow up missing, incomplete or unclear information and resolve routine rebate administration queries.
- Escalate discrepancies or unusual arrangements to the Commercial Finance Manager when required.
- Perform completeness checks to identify negotiated rebate arrangements that have not been captured in Enable.
- Monitor and report on outstanding, aged or incomplete agreements and assist with rebate reconciliations and investigations.
- Support assurance activities by providing relevant rebate documentation and information.
- Identify recurring data, documentation or process issues and recommend improvements to rebate administration and controls.
Who are we looking for?
- At least one year of experience in commercial finance, management accounting or an analytical role within an FMCG, wholesale or retail environment.
- Demonstrated experience in data entry, Finance administration, accounts administration or a similar high-volume transactional environment.
- Strong attention to detail and a clear commitment to data accuracy and completeness.
- The ability to review source documentation and accurately translate information into financial or commercial systems.
- Strong organisation and time-management skills, with the ability to manage multiple requests and competing deadlines.
- Strong Microsoft Excel skills and confidence working with financial or commercial data.
- Clear communication skills and the confidence to follow up stakeholders and constructively challenge incomplete information.
- The ability to identify discrepancies, investigate issues and escalate matters appropriately.
- A strong process and control mindset, with the ability to work effectively within defined requirements.
- Exposure to supplier rebates, Enable or merchandising systems will be highly regarded.
