VSA have an exciting opportunity available to join our Castle Street Team as a Volunteer Coordinator based in Aberdeen.

Hours: 35 hours per week

Salary: 28,569.47 (dependant on experience)

Location: Aberdeen

Purpose of the Role:

To support the recruitment, coordination and administration of volunteering across VSA, helping to achieve the charity’s strategic aim of increasing community involvement through volunteering. The postholder will ensure that volunteering is safe, well governed, effectively supported and aligned with VSA’s policies and service needs.

Main Duties and Responsibilites:

1. Volunteer Recruitment and Onboarding

- Work with managers across VSA to identify, develop, advertise and promote suitable volunteering opportunities.

- Coordinate the recruitment, selection and onboarding of volunteers, ensuring that references, PVG requirements, disclosures and other safe recruitment checks are completed before deployment.

2. Volunteer Programme Development

- Promote volunteering internally and externally, including corporate volunteering, to support VSA’s strategic objective of increasing community involvement.

- Support the development of volunteering opportunities that add value to VSA’s services and communities.

3. Volunteer Governance and Compliance

- Develop, implement and maintain volunteer procedures, practices and systems that support safe, effective and consistent volunteer management.

- Ensure volunteering activity complies with safeguarding, confidentiality, data protection, health and safety, and relevant VSA policy requirements.

- Support managers to define appropriate volunteer roles and ensure volunteers complement, rather than replace, paid staff.

4. Volunteer Records and Data Management

- Maintain accurate and secure volunteer records, including registration details, PVG membership, references, training, volunteer agreements and other required documentation.

- Monitor volunteer activity, turnover, diversity and engagement information to support reporting and continuous improvement.

5. Volunteer Training and Development

- Coordinate volunteer induction, mandatory training and suitable ongoing learning opportunities in partnership with the VSA training team.

- Ensure volunteers have completed required training before deployment and have the knowledge and support needed to contribute safely and effectively.

6. Volunteer Support and Engagement

- Build positive working relationships with volunteers and managers, providing guidance and practical support where required.

- Monitor volunteer satisfaction, retention and engagement, and identify opportunities to improve the volunteer experience.

- Coordinate appropriate volunteer recognition and appreciation activity.

7. Corporate Volunteering

- Coordinate corporate volunteering activity and ensure suitable supervision, risk assessments, induction, and health and safety briefings are in place.

- Act as a key point of contact for corporate volunteer partners and participating organisations.

8. Monitoring, Reporting and Assurance

- Produce regular KPI, performance and assurance reports on volunteering activity, outcomes and risks for the Head of Compliance, senior management and relevant committees.

- Support audits, inspections and reviews relating to volunteering activity and associated compliance requirements.

9. General Responsibilities

- Contribute to continuous improvement and promote good practice in volunteer management across VSA.

- Undertake other duties that are reasonable, commensurate with the level of the post and within the postholder’s capabilities.

- Experience of working in a Recruitment / Coordination role.

Desirable:

- Experience of Recruiting and Coordinating volunteers for a Charitable / Public Sector Organisation.
