What you'll do:
As an Executive Assistant EMEA Compliance at MUFG in London you will be instrumental in supporting the daily operations of the Compliance Management team. Your role will involve managing intricate schedules across multiple jurisdictions while coordinating meetings that reflect both business imperatives and regulatory demands. You will prepare comprehensive materials for senior leaders ensuring they are equipped for every engagement. By monitoring correspondence with discretion you will act as a trusted point of contact handling sensitive information responsibly. Maintaining accurate records is crucial as you coordinate governance calendars encompassing Board cycles committee forums town halls and more. You will also collaborate with various teams to ensure timely submission of governance documentation whilst supporting the creation of professional presentations trackers analyses. Your responsibilities extend to tracking action items organising events processing expenses partnering with support functions on operational matters—all while identifying opportunities to streamline processes. Success in this role requires exceptional organisational discipline meticulous attention to detail proactive communication skills adaptability under changing priorities and a collaborative approach that supports both individual leaders and wider team objectives.
- Manage complex diaries for designated members of EMEA Compliance Management, resolving scheduling conflicts and protecting time for priority activities while ensuring meetings align with business and regulatory priorities.
- Coordinate meetings, conference calls, travel arrangements, and itineraries across EMEA and other jurisdictions by liaising with internal offices, visitors, and external stakeholders.
- Prepare leaders for meetings by organising agendas, briefing materials, attendee information, logistics, and ensuring all documents are complete and available ahead of time.
- Monitor designated inboxes and correspondence using agreed protocols to prioritise communications, route messages appropriately, and escalate time-sensitive or confidential matters without assuming decision-making responsibility.
- Maintain Compliance distribution lists, leadership contact lists, calendars, team information, and other core administrative records with appropriate access controls and periodic validation.
- Coordinate the Compliance governance calendar and forward plan including Board and Executive Committee reporting cycles, Compliance committees, senior management forums, town halls, and other key deliverables.
- Work with Compliance teams on request to collate and quality-check contributions for governance packs, presentations, and management information; ensure completeness, consistency, formatting, and timely submission while substantive content remains with relevant owners.
- Support the preparation of high-quality PowerPoint presentations, Word documents, trackers, and Excel-based analysis for leadership purposes as well as departmental needs.
- Maintain orderly records and audit trails for agendas, papers, decisions, actions, and submissions in accordance with applicable governance requirements.
- Track agreed actions and deadlines arising from leadership meetings by issuing reminders as necessary; organise Compliance leadership meetings including materials, venues, technology setup, offsites or stakeholder events; process expenses accurately according to policy; partner with Business Management on office arrangements.

Your proven track record as an Executive Assistant or similar role within complex corporate settings—especially those involving financial services—will be invaluable in this position. You bring advanced proficiency in Microsoft Office tools which enables you to produce polished materials for executive use. Your strong organisational discipline ensures that even under pressure you maintain accuracy across all tasks from diary management through event coordination. Exceptional written verbal communication skills allow you to interact confidently with senior stakeholders fostering trustful relationships across diverse teams cultures jurisdictions. Handling confidential information comes naturally thanks to your integrity discretion sound judgement. Experience coordinating governance forums committee processes preparing papers tracking actions maintaining records demonstrates your reliability thoroughness. Ideally you have worked within compliance risk legal or related functions understand regulatory frameworks appreciate importance of robust governance escalation procedures legal-entity integrity. Your ability to improve workflows templates trackers enhances efficiency data quality benefiting both leadership wider team.
- Proven experience as an Executive Assistant Personal Assistant or senior administrator supporting multiple senior leaders within a complex corporate environment ideally in financial services.
- Demonstrated ability to manage complex diaries international travel arrangements senior stakeholder interactions competing priorities efficiently.
- Experience coordinating governance forums senior management meetings or committee processes including preparing papers forward plans action tracking record-keeping.
- Advanced working knowledge of Microsoft Outlook PowerPoint Word Excel enabling production of accurate professional materials suitable for executive audiences.
- Excellent written verbal communication skills allowing confident engagement with senior stakeholders across functions cultures jurisdictions.
- Strong attention to detail organisational discipline capacity to deliver accurately under tight deadlines while maintaining high standards.
- Experience handling sensitive confidential information discreetly demonstrating sound judgement integrity responsibility throughout all tasks undertaken.
- Preferred: Experience within Compliance Risk Governance Legal or another control function at a leading international financial institution; understanding regulated environments importance of governance escalation legal-entity integrity; experience supporting Board Executive Committee reporting cycles; improving administrative workflows templates trackers data quality.
