Description
The Gallery Assistant supports the college and facilitates arts education access by maintaining the gallery space and ensuring a positive experience for visitors. This role involves various tasks aimed at upkeeping the gallery and facilitating art exhibitions and events.
Essential Functions
Open and close the Gallery according to schedule; have flexibility when necessary for events.
Provide high quality customer service to gallery visitors, including students, staff, faculty, and community members.
Greet visitors and answer questions about the artist and artwork on display.
Ensure the safety and security of the artwork.
Process sales transactions for artwork purchases.
Assist with the preparation of the gallery for exhibitions, including spackling, sanding, painting, and hanging artwork.
Assist with event planning and preparation; be able to manage calendars.
Communicate professionally via phone, email, and in person as needed; take messages and relay information to the Director.
Perform light cleaning duties such as vacuuming and office organization to maintain the gallerys appearance.
Produce and distribute promotional materials like flyers and postcards.
Assist with processing donations, thank-you notes, and tracking sales and donor data in spreadsheets. Ability to file documents and keep paperwork organized.
Assist during opening receptions and other special events.
Conduct tours and assist with field trips as needed; be able to work with youth of various ages and abilities.
Ability to operate selected software programs relating to the position.
Must be well organized, able to prioritize work and work independently with minimal supervision.
Must be reliable, timely, and able to maintain a professional appearance.
Assist with training, mentoring, and assisting with directions for student employees as delegated by Gallery Director.
Collect relevant data for use in reports and analysis. Draft reports as needed.
Participate in gallery meetings and develop projects that highlight gallery. May be asked to participate in a related campus-wide committee.
Maintain communications with other departments on campus to follow-up and complete necessary tasks for the gallery.
Participate in reforming and revising procedures to keep internal documents relevant and easy to understand for reference of any gallery staff.
Process materials, including newly received items, artist contracts, and artwork inventory.
Order, inventory, and track supplies.
Create displays and signage, and participate in marketing the gallery to students and patrons.
Must be a creative problem-solver, interested in the arts or running a small business, and be able to self-initiate tasks.
Maintain sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, staff, and community members of varying social, ability, economic, cultural, ideological, and ethnic backgrounds.
Must be able to maintain a positive working attitude and welcoming environment for all visitors.
Support the Gallery Director as needed. Other duties as assigned.
Qualifications
Knowledge, Skills, and Abilities
Enjoy interacting with people and providing excellent customer service.
Ability to speak confidently to visitors and groups about the Gallery and its artwork.
Strong organizational skills and the ability to work independently with minimal supervision.
Ability to lift up to 40 lbs and handle physical tasks related to gallery maintenance.
Interest in art and willingness to learn more about various art materials and processes.
Have a strong work ethic and be a self-starter.
Ability to follow directions, think creatively, and adapt to changing tasks.
Ability to operate standard office computers, machines, and software programs, including, but not limited to: Microsoft, Google, and Adobe suites.
Well-developed interpersonal, customer service, communication, and listening skills.
Interacts positively and effectively with faculty, staff, management, and students in a diverse multi-cultural environment.
A strong understanding of and belief in patron confidentiality.
Demonstrated ability to work independently and in teams, set priorities, and complete tasks within established timelines.
Required Education and Experience
High school diploma or equivalent; Associate degree or higher preferred.
Experience in customer service; interest or experience in art field preferred.
Any experience working with youth or teaching preferred.
Current Gallery Schedule
Regular Gallery Hours: Monday-Thursday, 9:30am-1:30pm during shows.
Special Events: Occasionally required for evening events such as opening receptions, with hours typically:
Opening Receptions: 3:30 pm-7:30 pm, one-two times per quarter

Part Time:
This is a part time position, 10-16 hours per week as needed (during the academic year). Part time employees earn 1 hour of sick leave for every 30 hours worked.
Pay : $19.50/hour
