SUMMARY OF ROLE
Working as a key part of the Finance Team, the Finance Administrator (Payables, Area & Branch) is responsible for both the effective management of accounts payable activities including processing supplier transactions and ensuring timely settlement of organisation liabilities and the review of branch financial submissions, ensuring accuracy of accounting records and reconciliations, compliance with financial procedures, and maintaining banking and reporting documentation.
ROLE RESPONSIBLILTIES
- Manage the end-to-end accounts payable process, including supplier setup and maintenance, invoice processing, purchase order matching, statement reconciliations, and supplier payment runs.
- Verifying supplier bank details
- Resolve invoice, purchase order, and payment-related discrepancies.
- Monthly creditor statement reconciliations
- Reviewing staff credit card expenses for completion & compliance with IRC policies
- Act as a point of contact for supplier, volunteer, and staff finance queries, ensuring prompt and effective resolution.
- Review branch account submissions, accounting records, reconciliations and supporting documentation to ensure completeness, accuracy and compliance.
- Review branch financial submissions, accounting records, reconciliations, and supporting documentation to ensure accuracy, completeness, and compliance.
- Support branches with financial queries, monitor submission deadlines, and follow up on outstanding information as required.
- Maintain banking records and documentation, including bank mandates, bank statements, and SharePoint-based financial filing systems.
- Assist with financial data preparation, reporting, and system administration activities.
- IRC are in the process of moving to a CRM, assist with the development & testing of same
- Contribute to the achievement of Irish Red Cross objectives through continuous improvement, collaboration, and high standards of financial administration.
- Undertake training and development as required
- Abide by and uphold the Principles of the International Red Cross Red Crescent Movement.
- Undertake any other reasonable work-related duties and responsibilities assigned by the relevant line manager that are consistent with the nature of the job and level of responsibility.
ROLE REQUIREMENTS
Essential Criteria
- 1-2 years of experience as a Finance Administrator, Finance Assistant or similar role
- Excellent attention to detail and ability to maintain accurate financial records.
- Effective communication and interpersonal skills for customer interactions and team collaboration.
- Problem-solving and analytical skills
- Proficient in Microsoft suite, especially with strong Microsoft Excel competency
- Hands-on experience with accounting software
Desirable Criteria
- Experience in the not-for-profit sector.
- Volunteer experience.
