About the Role

Eau Claire Ford Lincoln Quick Lane is looking for an organized, dependable, and proactive Office Coordinator to help keep our dealership running smoothly.

This position is perfect for someone who enjoys creating order, noticing what needs to be done, and helping others. The Office Coordinator will support our leadership and accounting teams by taking ownership of the everyday details that make our workplace organized, welcoming, and enjoyable.

No two days will look exactly the same. Were looking for someone who can see that supplies are running low, a shared space needs attention, or an upcoming employee event needs coordination and take care of it without waiting to be asked.

Responsibilities

- Maintain a clean, organized, and welcoming office environment

- Monitor and order office, kitchen, restroom, and dealership supplies

- Restock paper products, soap, beverages, snacks, and other shared supplies

- Load and unload the dishwasher and keep employee kitchen and break room areas organized

- Keep shared spaces, conference rooms, supply areas, and employee areas presentable

- Sort and distribute incoming mail and deliveries

- Prepare outgoing mail and packages

- Coordinate dealership lunches, potlucks, celebrations, employee events, and recognition activities

- Assist with birthdays, anniversaries, new hire welcomes, and other team initiatives

- Run occasional local errands and pick up supplies

- Maintain dealership calendars, sign up sheets, lists, and internal communications

- Help prepare meeting spaces and materials

- Assist with basic data entry, filing, scanning, copying, and document organization

- Communicate with vendors and coordinate routine office related services

- Help with seasonal decorating and dealership event preparation

- Identify small workplace needs and follow through on solutions

- Provide general administrative support to the leadership and accounting teams

- Assist with other projects and tasks as needed

What Were Looking For

- Highly organized and attentive to detail

- Dependable, trustworthy, and consistent

- Friendly and comfortable working with people throughout the dealership

- Self motivated and able to recognize what needs to be done

- Willing to take ownership of tasks from beginning to end

- Able to prioritize when several requests come up at once

- Comfortable performing a mix of administrative and hands on tasks

- Able to maintain confidentiality and use good judgment

- Basic computer skills, including email, Microsoft Word, and Excel

- Previous administrative, office coordination, hospitality, retail, or event planning experience is helpful but not required

- Valid drivers license and acceptable driving record

Physical Requirements

- Ability to move throughout the dealership during the workday

- Ability to occasionally lift and carry supplies weighing up to 25 pounds

- Ability to bend, reach, stand, and perform light workplace organization tasks
