About this role

The Enrollment CRM Strategist is responsible for developing, building, and continuously improving CRM-based prospective student engagement strategies that help the University of Virginia’s top-ranked School of Education and Human Development (EHD) achieve its admission, recruitment, and enrollment goals. The position combines hands-on CRM execution with enrollment strategy, using segmentation, automated and triggered communications, funnel data, testing, and personalized outreach to move prospective students from inquiry through enrollment.

Position Summary

The incumbent collaborates with the Director, School admission and marketing colleagues, faculty, and program coordinators to develop and implement program-specific engagement strategies for prospective undergraduate and graduate students throughout the admission and enrollment process. This includes conceptualizing, building, maintaining, and evaluating communication and outreach plans and using data to recommend improvements to enrollment outcomes. This highly collaborative position requires the incumbent to work in-person five days a week in Charlottesville, Virginia with some seasonal flexibility to work remotely 1 – 2 days a week.

The incumbent builds and manages admission and recruitment engagement within the School's CRM, which serves as the system of record for prospective student, applicant, admission, and enrollment activity.

The incumbent also helps evaluate and apply emerging technologies to admission and recruitment activities, including communication development, workflow improvement, student ambassador support, audience segmentation, and prioritization of prospective student outreach. This position reports to the School of Education and Human Development's Director of Admission, Recruiting, and Enrollment Strategies and collaborates closely with the School's Office of Communication and Marketing and faculty and staff in 40 + unique graduate academic programs and 8 undergraduate majors.

Responsibilities

- Develops, manages, tests, and continuously improves program-specific CRM communication plans and campaigns, including inquiry nurturing, application completion, admission communications, admitted-student engagement, yield, and other enrollment-focused outreach.
- Builds and maintains CRM communications, audiences, registration forms, and related recruitment processes; conducts quality assurance and maintains documentation and standards to support accurate, coordinated communications.
- In partnership with the Director and other key stakeholders, develops, implements, and measures program-specific admission and recruitment engagement strategies designed to support prospective students throughout the inquiry, application, admission, and enrollment process.
- Uses enrollment funnel data to identify trends, measure engagement effectiveness, identify prospective students who may benefit from additional outreach, and recommend adjustments to the Director and other School colleagues to improve application conversion and enrollment outcomes.
- Develops and tests approaches for identifying prospective students who may benefit from additional or personalized engagement based on funnel stage, demonstrated interest, timing, program priorities, and other appropriate indicators.
- Supervises the School's student ambassadors, including recruitment, training, time tracking, assignment and oversight of prospective student outreach, development of communication tools and resources, and assessment of ambassador engagement activities.
- Collaborates with faculty, program leaders, admission staff, and other School partners to develop timely and appropriate prospective student outreach and to ensure recruitment communications accurately reflect admission requirements, program expectations, deadlines, and enrollment processes.
- Dratis recruitment and admission communications and related content in collaboration with the School's Office of Communication and Marketing, ensuring alignment with School messaging while meeting the operational needs of the admission process.
- Identifies patterns in prospective student questions, interests, and engagement behavior and shares actionable insights with the Director and School partners to inform recruitment and enrollment strategy.
- Provides CRM guidance, documentation, training, and support to faculty, staff, and student ambassadors engaged in admission and recruitment activities.
- Participates in virtual and in-person recruitment events, information sessions, admission programming, committees, and other activities supporting the School's admission and enrollment goals. Some events will be held in the evenings or on weekends.

Knowledge, Skills, and Abilities

- Demonstrated ability to use CRM or marketing automation systems to build, manage, test, and improve segmented prospective student, customer, or constituent communication journeys.
- Knowledge of CRM functionality including audience segmentation, workflow automation, triggered communications, data stewardship, quality assurance, and campaign management.
- Ability to use funnel, campaign, and engagement data to evaluate effectiveness, identify opportunities, prioritize outreach, and recommend improvements.
- Ability to design differentiated engagement strategies by audience, program/product, modality, lifecycle stage, and demonstrated behavior.  Ability to craft clear, persuasive digital communications.
- Strong analytical, organizational, interpersonal, and project-management skills.
- Ability to build productive working relationships with prospective students, student ambassadors, and stakeholders.
- Working knowledge of digital marketing tracking and attribution concepts, including campaign source tracking, UTM parameters, referral data, and the use of digital engagement data to support recruitment and enrollment analysis

Minimum Qualifications

- Education: Bachelor's degree. Relevant experience may be considered in lieu of degree requirement.
- Experience: At least two years of experience.

Preferred Qualifications

- In-depth experience using a CRM, marketing automation platform, or comparable system to build and manage segmented, automated, or triggered communications.
- Experience using funnel, campaign, lifecycle, or engagement data to evaluate performance and inform outreach strategies.
- Experience supporting prospective students, customers, members, donors, or other constituent populations through multi-stage engagement journeys.
- Experience with Slate by Technolutions is strongly preferred but not required.
- Experience in higher education admission, recruitment, enrollment management, or enrollment communications is preferred.
- Knowledge of undergraduate and/or graduate admission and recruitment practices is preferred.  Familiarity with artificial intelligence, analytics, HTML/CSS, digital marketing attribution, or related technologies.

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

Salary Range

- The anticipated hiring range is $72,000–$82,000, commensurate with education and experience.

- This position is based in Charlottesville, VA, and is eligible for a hybrid schedule of 1-2 days on Grounds per week. Additional on-site presence might be needed during the training period.
