As part of the Hospitality Services and Workplace Operations team, the Workplace Experience Coordinator supports the key enablement of functions that keep business lines running optimally. The role provides front-line service to employees, executives, clients, and visitors, delivering professional, welcoming, and first-class workplace experience.

Is this role right for you? In this role, you will:
Client and Guest Experience
- Champion a client-focused culture that deepens relationships and leverages broader Bank relationships, systems, and knowledge.
- Receive and welcome employees, executives, clients, and visitors, act as a central point of contact on arrival, notify hosts, and direct guests to the appropriate location.
- Maintain expert knowledge of the workplace, business lines, amenities, meeting spaces, technology, and service offerings to respond to questions and provide a welcoming environment.
- Review daily appointments, events, room bookings, and the Visitor Management System to confirm preparations are in place and liaise with operations teams to resolve deficiencies.
- Demonstrate sound judgment and discretion when accommodating on-site requests and handling confidential or sensitive matters.
- Answer telephone and in-person inquiries in a professional, timely, and courteous manner.
- Maintain clean, organized reception, desk, and guest-facing areas in accordance with the clean desk policy.
Meeting, Event, and Administrative Support
- Support Hospitality Services, Operations, and senior leadership with meeting and event requirements, including room bookings, room set-up, conference technology, food service orders, coffee station readiness, and reception coverage.
- Coordinate event materials such as name tags, menus, tent cards, and other guest-facing materials as required.
- Accept deliveries, arrange courier pick-ups for mail items, and administer inbound RightFax messages where applicable.
- Provide general administrative support and complete ad hoc tasks and projects as assigned.
- Manage and maintain shared inboxes as a primary channel for service requests and follow-up.
- Coordinate with internal partners and external vendors to support event, workplace, equipment, and maintenance requirements.
Security, Technology, and Workplace Support
- Perform key-holder responsibilities, support badge distribution, and complete daily opening and closing activities for main access areas.
- Ensure security credentials and access control requirements are followed and promptly raise suspicious activity or concerns with Security.
- Act as the first point of contact for standard office equipment, meeting-room technology, video conferencing, and basic troubleshooting; place and support service calls as required.

- Excellent verbal and written English communication skills.
- Excellent organizational and time-management skills, including the ability to prioritize and coordinate multiple tasks.
- Strong interpersonal skills and the ability to interact effectively with internal partners, external clients, vendors, employees, and executives at all levels.
- Ability to work with minimal supervision while collaborating effectively within a large team.
- Intermediate proficiency in Microsoft Word, Excel, Outlook, OneNote, and Teams.
- Working knowledge of Visitor Management and facility-management tools such as Office Space, or the ability to learn them.
- Knowledge of meeting room technology, video conferencing, and standard office equipment, or the ability to learn.
- Reliable and punctual, with the flexibility to respond to changing priorities, schedules, and business needs.
