Administrative Assistant
Department: Business Operations
Reports To: Chief Operating Officer
Status: Full-Time, Exempt
Position Summary
Panagora is seeking a highly organized, energetic, and service-oriented Administrative Assistant to provide support to the Chief Executive Officer (CEO) and Chief Operating Officer (COO) while helping coordinate firmwide meetings, events, and employee engagement activities.
This role combines traditional administrative responsibilities with significant responsibility for the planning, coordination, and execution of internal events and programs that support employee engagement and the overall workplace experience. Working closely with Human Resources and firm leadership, the successful candidate will help ensure that firmwide meetings, events, and activities are professionally organized and executed.
The role also offers broad exposure across the organization and may provide administrative support to Human Resources, Sales & Marketing, and other business teams as needs arise.
Key Responsibilities
Executive and Administrative Support
- Provide day-to-day administrative support to the CEO and COO.
- Manage calendars, schedule meetings, and coordinate appointments and conference calls.
- Coordinate travel arrangements and prepare travel itineraries.
- Prepare and process expense reports and reimbursement requests.
- Assist in the preparation of meeting materials, presentations, agendas, and follow-up items.
- Manage routine correspondence and administrative requests.
- Serve as a professional point of contact for internal and external stakeholders.
- Support special projects and other administrative initiatives as assigned.
Firmwide Meetings, Events & Employee Engagement
- Coordinate and execute firmwide meetings, employee events, volunteer activities, celebrations, and other company-sponsored programs.
- Work closely with Human Resources and firm leadership to support employee engagement and workplace initiatives.
- Manage event logistics, including venue selection, catering, vendor coordination, registrations, communications, materials, and onsite execution.
- Coordinate town halls, holiday celebrations, team-building activities, employee recognition events, and learning programs.
- Assist with planning and facilitation of volunteer programs, wellness initiatives, and professional development events.
- Develop event timelines, manage budgets where applicable, and ensure successful delivery of events and programs.
- Maintain event calendars and communications to maximize awareness and participation across the organization.
- Identify opportunities to improve event execution and enhance the employee experience.
Cross-Functional Support
As capacity permits, provide administrative and project support to other teams across the firm, including:
Human Resources
- Assist with onboarding activities, interview scheduling, training programs, and employee events.
- Support employee engagement and workplace initiatives.
Sales & Marketing
- Assist with industry conferences, client events, and marketing programs.
- Provide logistical and administrative support for team projects and initiatives.
Other Business Functions
- Support firmwide projects and administrative needs as requested.
Qualifications
- Bachelor's degree required.
- 0-3 years of professional experience.
- Experience planning events, coordinating programs, managing logistics, or supporting organizational activities preferred.
- Strong organizational and project management skills.
- Excellent verbal and written communication abilities.
- Strong attention to detail and ability to manage multiple priorities simultaneously.
- Professional demeanor and strong interpersonal skills.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Demonstrated initiative, flexibility, and willingness to learn.

Salary Range: $65,000 - $80,000
