The Trade Operations Analyst owns export documentation for S&OP: the day-to-day execution, the standards behind it, and the work to improve it. This person prepares export documentation, coordinates shipments with freight forwarders, secures regulatory certificates through USDA/APHIS, and supports international customers. Over time, they will document our per-customer requirements, tighten the process, and work to transition more of the manual preparation toward automation.

Essential Responsibilities:

Export Documentation & Shipment Execution:

- Prepare, review, and issue export documentation with speed and accuracy, including commercial invoices, packing lists, Shipper's Letters of Instruction (SLI), VGM declarations, certificates of origin, and related shipment documents.

- Apply for, track, and manage export health certificates and permits through USDA/APHIS and other regulatory agencies.

- Set up and coordinate international shipments end to end: booking with freight forwarders and carriers, confirming documentation requirements, and following shipments through delivery and post-shipment documentation.

- Research and resolve documentation discrepancies, customs questions, holds, and shipment exceptions quickly and thoroughly.

Process Ownership & Improvement:

- Own the export documentation process for S&OP, including the standards and the day-to-day execution.

- Assess how the documentation process works today, identify what needs to improve as volume grows, and work with the team to get there.

- Build and maintain the per-customer documentation rule set: capture destination- and customer-specific requirements as written, current standards.

- Feed documentation errors and discrepancies back into the standards and checklists so the same issue does not happen twice.

- Use AI tools daily to draft documents and automate repetitive steps; build and manage the checklists, templates, and tooling that support these workflows, and work to transition more of the manual preparation toward automation.

International Account Management & Customer Support:

- Serve as a day-to-day contact for international customers: order status, shipment updates, documentation requests, and issue resolution.

- Manage assigned international accounts and orders from entry through delivery, communicating proactively with customers, sales, and internal teams.

Trade Research & Industry Partnership:

- Research destination-market documentation and import requirements; partner with organizations such as USDEC to resolve export questions and stay current on changing requirements.

- Maintain accurate customer, product, and trade master data to support execution and reporting.

Measures of Success:

- Fewer manual touches per international order as standards and automation take hold.

- Documentation discrepancies caught before shipment, with recurring issues fixed at the root.

- A growing share of international orders running through documented standards and tooling.

Position Qualifications:

- Associate's degree required, bachelor's degree preferred

- Experience owning or redesigning a process end to end

- A track record of automating or streamlining work, with specific examples of manual work made faster or simpler

- Exceptional attention to detail and accuracy in high-volume document preparation

- Strong organizational skills; able to manage many shipments, documents, and deadlines at once

- Excellent verbal and written communication and customer service skills

- Analytical and problem-solving ability; comfortable learning new systems quickly

- Actively uses AI tools in daily work and is ready to design, test, and manage AI-driven workflows

- 2-5 years of experience in trade operations, international logistics, supply chain, or customer-facing operations preferred; familiarity with export documentation and Incoterms a plus

- Advanced Excel required; Power Query, SQL, or scripting experience a plus

The salary range for this position is $70,000.00 - $80,0000.00 USD based on experience. Applicable pay within the posted range may vary based on factors including, but not limited to education, skill set and depth of experience.
