About the Role
The Office Manager / Team Coordinator is the central point of contact for the Arizona office and is responsible for creating a professional, organized, welcoming, and well-supported workplace. This role combines day-to-day office management with proactive coordination across the team, leadership, vendors, property management, IT, Culture + People, Accounting, and other support functions.
The ideal candidate is highly organized, service-oriented, dependable, proactive, and comfortable managing multiple priorities with sound judgment and strong follow-through.
What You Will Do
Office Management and Workplace Experience
- Welcome visitors, manage the front desk, incoming calls, parking, mail, deliveries, and courier shipments.
- Prepare meeting spaces, refreshments, technology, and visitor logistics.
- Keep common areas organized, stocked, and ready; monitor maintenance, janitorial service, access, and safety needs.
- Coordinate with IT, property management, and workplace vendors on technology, repairs, access, parking, cleaning, and other office needs.
Team Coordination and Administrative Support
- Serve as the office coordination point by routing requests, tracking action items, deadlines, approvals, and follow-up.
- Coordinate team meetings, office events, celebrations, and employee-experience activities.
- Communicate office updates and maintain directories, procedures, shared resources, and administrative records.
- Support leadership and other departments with administrative and project coordination and identify process improvements.
Executive Administrative Support
- Provide backup and overflow administrative support to directors and executives, including calendar management, scheduling, travel bookings, and reminders.
- Coordinate executive meetings by managing invitations, agendas, materials, rooms, technology, refreshments, and follow-up.
- Process expense reports and reimbursement requests, ensuring receipts, approvals, and submissions are complete and timely.
- Organize and maintain executive files, documents, and shared resources, including SharePoint folders and content.
Purchasing, Vendors, and Financial Administration
- Manage workplace vendor relationships, service issues, and office supply inventory.
- Coordinate vendor onboarding, quotes, purchase requests, approvals, returns, credits, and replacements.
- Review contracts, invoices, budgets, and supporting documentation for accuracy.
- Support invoice reconciliation and month-end financial administration while managing office spending within approved budgets.
Employee Onboarding and Offboarding
- Coordinate office onboarding logistics, including access, workstation readiness, supplies, business cards, phone and copier setup, and orientation.
- Welcome new employees and ensure their basic workplace needs are addressed.
- Coordinate offboarding with managers, IT, Payroll, Culture + People, property management, and security.
- Track company property and access returns and prepare workspaces for reuse.
Safety, Compliance, and Procedures
- Conduct routine office checks, report hazards and incidents, and support emergency preparedness, evacuation procedures, and building safety communications.
- Maintain office procedures, checklists, directories, and resource guides while protecting confidential information.
About You
- 3+ years of experience in office management, workplace operations, executive administration, team coordination, or a related role.
- Experience coordinating vendors, facilities, purchasing, invoices, budgets, events, or employee onboarding.
- Strong organizational skills and the ability to manage multiple priorities with accuracy and follow-through.
- Excellent written and verbal communication skills and a professional, service-oriented presence.
- Demonstrated judgment, discretion, initiative, and ability to work independently once priorities and approvals are clear.
- Proficiency with Microsoft Office, Outlook, Teams, shared calendars, and common office technology.
- Ability to build positive working relationships with employees, leadership, vendors, property management, and cross-functional partners.
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
