About this role
Overview
The Chief Administrator serves as the senior administrative and operational leader for the Department of Medicine and is responsible for the overall performance and coordination of the Department’s administrative, clinical, financial, and operational functions across all missions.
Working in partnership with the Department Chair and Division Chiefs, Dean’s Office, EVMS Medical Group, physician leaders and physician and institutional leaders, the Chief Administrator translates strategic priorities into operational execution.
The Chief Administrator provides leadership and oversight for departmental operations and is accountable for ensuring appropriate administrative infrastructure, leadership, processes, resources, and performance management systems are in place to support the Department’s clinical, education, research and service missions.
The position requires a high level of operational engagement and visibility within the Department and its clinical practices. The Chief Administrator is expected to maintain a strong understanding of day-to-day operations, identify barriers to performance, ensure accountability for results, and facilitate timely resolution of operational issues.
Responsibilities
Strategic Leadership & Organizational Alignment
- Partner with the Department Chair to develop and execute departmental, strategic, operational and financial priorities.
- Align departmental activities with the priorities of the Dean’s Office and Medical Group.
- Serve as advisor to the Chair and physician leadership on operational, financial, workforce and strategic matters.
- Champion department and enterprise initiatives within the department, and promote an integrated practice plan approach focused on collaboration, standardization, shared accountability and responsible stewardship of organizational resources.
- Lead and support organizational change, growth initiatives, new programs, service expansion, and other strategic priorities.
- Represent the Department and Chair with institutional leadership, clinical partners, and other stakeholders as appropriate.
Clinical Operations & Operational Engagement
- Provide executive administrative oversight of the Department’s clinical operations and maintain active engagement and visibility across clinical practices.
- Ensure effective operational infrastructure supporting patient access, staffing, scheduling, provider productivity, patient experience, quality and efficient care delivery.
- Monitor departmental and Medical Group key performance indicators, benchmarks, dashboards, and trends to identify performance gaps and opportunities.
- Ensure clear ownership, action plans, and accountability for performance improvement and timely resolution of operational barriers.
- Promote standardized workflows, operational best practices, and continuous improvement across the Department.
- Partner with clinical and Medical Group leadership to advance quality, safety, regulatory compliance, and patient centered care.
Financial & Business Performance
- Provide executive oversight of departmental financial performance, including budgeting, forecasting, variance management, resource utilization, and business planning.
- Monitor revenue, expenses, provider productivity, revenue cycle, and other financial and operational indicators and ensure appropriate action when performance varies from expectations.
- Identify opportunities to improve financial performance, operational efficiency, clinical capacity, and resource utilization.
- Provide administrative leadership for business plans, pro formas, contracts, affiliations, and growth opportunities.
- Ensure appropriate fiduciary stewardship and compliance with institutional financial policies and controls.
Organizational Leadership & Workforce
- Provide leadership and accountability for the Department’s administrative and operational structure, ensuring responsibilities delegated to administrators, directors, managers and other leaders are effectively executed.
- Establish clear roles, responsibilities, decision making authority, and performance expectations across the Department.
- Lead workforce planning and ensure organizational and staffing structures appropriately support departmental and enterprise priorities.
- Recruit, develop, coach and retain effective leaders and promote succession planning, employee engagement, and accountability.
- Partner with ODU VHS Talent Management & Culture (TMC), VHS Faculty Affairs, and other institutional offices to support effective administration of faculty and staff matters.
Academic, Research & Faculty Support
- Ensure effective administrative infrastructure supports the Department’s education, research, and faculty missions.
- Provide oversight and coordination for faculty recruitment, onboarding, appointments, credentialing, compensation administration, and other faculty lifecycle activities.
- Ensure appropriate administrative and financial oversight for educational programs (clerkship, residency, fellowships), research activities, grants, and other academic initiatives in partnership with responsible departmental and institutional leaders.
Enterprise Partnership & Other Responsibilities
- Senior administrative partner to the Medical Group and Dean’s Office.
- Participate in and lead enterprise initiatives, committees, performance improvement efforts, and strategic projects as assigned.
- Promote integration across departments and institutional functions and support implementation of standardized enterprise practices
- Assume additional departmental or enterprise leadership responsibilities based on organizational priorities, operational needs, or leadership transitions.
Qualifications
Minimum Qualifications and Skills:
- Bachelor’s degree plus eight (8) years of relevant healthcare experience including 2 years as a director or department head, or equivalent combination of education and experience.
Preferred Qualifications:
- MBA highly preferred
- Experience with Epic
- Experience with an Academic Practice Plan
- Experience with an integrated health system, multispecialty group, or similarly complex healthcare organization.
- Experience supporting organizational integration, practice transformation, or enterprise-wide initiatives.
