Role Summary

The Receptionist is a polished, dependable professional to serve as the first point of contact for clients, partners, and guests at our investment management firm. This is a part-time position working Monday through Thursday, 9:00 AM – 3:00 PM, with the opportunity for additional hours as needs arise.

This role is central to the experience we deliver. Our clients have trusted us with their financial futures, and the welcome they receive at our front door should reflect that trust from the first moment.

Key Responsibilities

- Greet and welcome all visitors with warmth, professionalism, and attentiveness

- Manage incoming calls, route inquiries, and take accurate messages

- Coordinate conference room scheduling and prepare meeting spaces for client visits

- Handle incoming and outgoing mail, packages, and deliveries

- Maintain a clean, organized, and professional reception area at all times and assist with maintaining the same standard for all common areas as needed

- Support administrative staff with light office tasks as needed

- Assist with preparation for events or meetings

- Produce professional-quality printed materials by confirming specifications, selecting appropriate paper and supplies, configuring specialty printer settings, binding materials as needed, reviewing output for quality and accuracy, and troubleshooting printing issues

- Uphold confidentiality standards appropriate to a financial services environment

Required Qualifications

- Prior experience in a professional office or corporate environment required; financial services, legal, or executive office experience a plus

- Strong verbal and written communication skills

- Demonstrated customer service or client-facing experience in a professional or service environment

- Proficiency with basic office technology, including email, Microsoft Office, and phone systems

- Professional appearance and demeanor consistent with a client-facing financial services setting

- High school diploma or equivalent required

Preferred Qualifications

- Associate's or bachelor's degree, or equivalent professional experience preferred

- Familiarity with scheduling or calendar tools such as Outlook or Google Calendar preferred

- Experience handling sensitive or confidential information preferred

Physical Requirements

- Ability to lift and carry equipment or supplies weighing up to 50 pounds.

- Ability to stand, bend, kneel, reach, and work around office equipment.

- Ability to use hand tools and handle small mechanical components.

Additional Requirements

As a boutique investment management firm, we maintain a high standard of discretion and client confidentiality. The following are conditions of employment:

- Execution of a Non-Disclosure and Confidentiality Agreement prior to start date

- Successful completion of a background check

- Satisfactory professional references

- Must be authorized to work in the United States; this position is not eligible for visa sponsorship

Schedule & Compensation

- Part-time: Monday – Thursday, 9:00 AM – 3:00 PM (24 hours/week)

- Additional hours available based on firm needs and mutual interest

- $22–$25 per hour, commensurate with experience
