Food Safety Specifications Coordinator

Job Title: Food Safety Specifications Coordinator Job Description The Food Safety Specifications Coordinator plays a key role in ensuring product safety, quality, and regulatory compliance across a rapidly growing global food manufacturing organization. This position focuses on managing ingredient and product specifications, supporting food safety and FSQA programs, and collaborating closely with cross-functional teams to drive commercialization projects and continuous improvement in food safety practices. Responsibilities

- Work within SAP PLM and related database systems to analyze ingredients, manage specifications, and maintain accurate product data.
- Review ingredient formulas and product specifications to ensure alignment with food safety, quality, and regulatory requirements.
- Partner with food safety specialists and cross-functional teams to support commercialization projects from concept through launch.
- Complete verification of records and ensure all food safety information and documentation are accurately recorded, organized, and maintained in accordance with regulatory standards and internal policies.
- Conduct risk assessments for new ingredients, products, and processes, with a focus on identifying and mitigating potential hazards.
- Review and help maintain policies, procedures, and guidance documents that support corporate FSQA and compliance programs.
- Contribute to the development, maintenance, and review of food safety plans, including ingredient hazard analyses and preventive controls.
- Support initiatives related to food fraud, food defense, and other food safety programs to protect product integrity and consumer safety.
- Collaborate with regulatory and labeling teams to ensure product information meets applicable FDA standards and other regulatory requirements.
- Use tools such as TraceGains and SAP PLM to manage quality, regulatory, and labeling data and support specification management.
- Communicate effectively with cross-functional partners, providing clear, solution-oriented input when issues arise and proactively seeking guidance when needed.
- Manage multiple projects simultaneously, prioritizing tasks and timelines to meet business needs and regulatory deadlines.
- Participate in periodic plant visits, including monthly audits, to verify that food safety and quality processes are functioning properly and that documentation aligns with on-site practices.

Essential Skills

- Bachelors degree in Science, Food Science, Chemistry, Biology, Engineering, or a closely related field.
- Approximately 12 years of experience within the food industry, with a focus on food safety, quality, or regulatory functions.
- Hands-on experience in food manufacturing and food safety, including exposure to food safety plans and ingredient hazard analysis.
- Strong understanding of regulatory requirements, particularly FDA standards and related food safety regulations.
- Experience working with SAP PLM or similar product lifecycle management or database software.
- Proficiency with quality, regulatory, and labeling processes in a food manufacturing environment.
- Detail-oriented approach with the ability to maintain accurate records and documentation in accordance with regulatory standards.
- Strong time management skills, with proven ability to handle multiple projects and priorities simultaneously.
- Excellent communication skills, with the ability to collaborate effectively in a highly cross-functional environment.
- Demonstrated initiative and a proactive, solution-oriented mindset when identifying issues and seeking guidance.

Additional Skills & Qualifications

- Experience in food chemistry, laboratory work, or GMP (Good Manufacturing Practices) is highly beneficial.
- Experience using TraceGains or comparable specification and supplier management platforms.
- Technical strength on the quality and food safety side, including familiarity with food fraud and food defense programs.
- Ability to interpret and apply corporate FSQA and compliance policies to day-to-day work.
- Comfort working in a global, rapidly growing organization with frequent cross-functional communication.
- Collaborative working style and ability to build strong relationships with partners across operations, R&D, quality, and regulatory teams.

Work Environment This role operates in a hybrid work environment. The position follows first-shift hours, with flexible options such as 7:00 a.m.3:00 p.m., 8:00 a.m.4:00 p.m., or 9:00 a.m.5:00 p.m., depending on business needs and personal preference. This is a Contract to Hire position based out of Chicago, IL.
Pay and Benefits
The pay range for this position is $30.00 - $30.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
