Position Overview

The Associate Engagement & Experience Coordinator provides centralized operational and administrative support across Burlington’s Culture & Community Impact organization, providing coordination, workflow management, communications administration, project support, and operational execution across Associate Engagement & Experience, Workplace Culture & Belonging, Community Impact, and Enterprise Events & Experience.

The role provides shared operating infrastructure across CCI by coordinating workflows, maintaining visibility to priorities and deadlines, facilitating cross-functional processes, and supporting the administrative execution of enterprise programs. Reporting administratively to the Director, Associate Engagement & Experience, this role provides operational support across the Culture & Community Impact organization.

This role serves as the primary coordinator for departmental communications, project administration, operational processes, and enterprise meeting coordination. The position plays a critical role in enabling the successful execution of departmental priorities through strong organization, communication, follow-through, and operational support.

A Day in the Life

Communications Coordination & Enterprise Liaison
• Serve as the primary coordination point between Culture & Community Impact and Internal Communications for communication intake, routing, approvals, publishing schedules, and execution timelines.
• Partner with Internal Communications, Store Operations and key stakeholders to facilitate communication and execution of enterprise-facing initiatives.
• Manage communication request workflows and maintain visibility into communication deadlines, dependencies, and publication schedules.
• Facilitate review and approval processes for associate-facing communications, announcements, campaigns, and program materials by routing materials to the appropriate stakeholders, tracking feedback, and following up on outstanding actions..
• Maintain department communication calendars and enterprise milestone schedules.
• Monitor deadlines and proactively follow up with stakeholders to help keep communication deliverables and program commitments on track.

Department Operations & Workflow Management
• Maintain department-wide project trackers, milestone schedules, operating calendars, status reports, and action-item logs.
• Coordinate follow-up activities and provide visibility into key deadlines, deliverables, and next steps across departmental initiatives.
• Support annual planning cycles through maintenance of planning documents, trackers, timelines, and meeting coordination.
• Maintain department resource libraries, templates, standard operating procedures, and documentation repositories.
• Track project status, dependencies, risks, and stakeholder commitments and provide regular updates to department leaders.
• Support business reviews, planning sessions, leadership meetings, and departmental operating reviews.
• Maintain centralized visibility across team priorities to support execution and accountability.

Financial, Vendor & Administrative Operations
• Process invoices, purchase orders, vendor payments, and reimbursement requests across departmental programs and initiatives.
• Coordinate procurement-related activities and vendor onboarding requirements.
• Track expenditures and maintain budget-related documentation supporting departmental financial management.
• Coordinate budgets, invoice processing, forecasting activities, and resource management
Support reconciliation and reporting activities as requested by department leadership.
• Coordinate shipping, supply ordering, inventory management, and material distribution activities.

• Manage vendor relationships, contracts, and implementation activities.

Meeting & Event Coordination Support
• Own annual operating calendars, project plans, milestones, and reporting processes.

• Schedule and coordinate enterprise-facing meetings, workshops, planning sessions, leadership forums, and culture-related meetings.
• Coordinate room reservations, attendee communications, registration processes, catering, meeting materials, and technology requirements.
• Support logistics for associate engagement, community impact, recognition, culture, and enterprise events.
• Manage attendee lists, registration tracking, shipments, and event materials.

• Coordinate enterprise operating meetings, leadership forums, and enterprise-touching activities requiring cross-functional participation.
• Assist with onsite setup, supply management, and post-event administrative follow-up activities.
• Identify scheduling conflicts, communication risks, and timeline dependencies across departmental initiatives.

Associate Program Administration
• Manage Associate Assistance Fund employee verification requests and supporting documentation.
• Support Tuition Assistance program administration, including invoice collection, processing coordination, tracking, and record management.
• Maintain program documentation and support compliance, audit, and retention requirements.

You'll Come With

Education:

- Associate degree or equivalent combination of education and experience

​ Experience:

- 3-5 years of experience in project coordination, program administration, communications, human resources, operations, events, or related functions.
- Experience supporting multiple leaders, projects, or enterprise initiatives simultaneously.
- Experience managing workflows, approvals, calendars, project trackers, and reporting tools.
- Experience coordinating meetings, communications, and stakeholder deliverables

- Experience with SharePoint, Smartsheet, Workday, Power BI, Microsoft Planner, or similar collaboration and project management tools preferred.
- This is a hybrid position requiring travel to Burlington Corporate Headquarters.

Physical Requirements:

- This is a hybrid position requiring travel to Burlington Corporate Headquarters.
- Based in U.S. Eastern Time Zone (ideally NJ/PA/NY based).
- Ability to sit, stand, and move throughout corporate facilities for extended periods.
- Ability to lift and transport boxes, supplies, event materials, and merchandise weighing up to 40 pounds.
- This role may require physically strenuous activity, including standing and walking for extended periods, setting up and breaking down meeting or event materials, working outdoors in varying weather conditions, and organizing, sorting, or transporting supplies and merchandise.
- Ability to work occasional evenings or extended hours in support of department meetings, events, and enterprise initiatives.
- Based in U.S. Eastern Time Zone (ideally NJ/PA/NY based).
- Ability to sit, stand, and move throughout corporate facilities for extended periods.
- Ability to lift and transport boxes, supplies, event materials, and merchandise weighing up to 40 pounds.
