Arcetyp LLC is looking for a full time Human Resources Administrative / Civilian Resource Support Specialist as a government contractor to provide administrative, analytical, personnel tracking, records management, reporting, and coordination support to the U.S. Coast Guard (USCG) Operational Logistics Command (LOGCOM), LOG-1 Personnel & Reserve Force Readiness Division and its Civilian Resource Coordinator (CRC). The position supports civilian workforce administration across LOGCOM's geographically dispersed organization. Responsibilities include tracking recruitment and hiring actions, monitoring performance-management requirements, maintaining personnel-related trackers and dashboards, managing electronic records and SharePoint resources, coordinating meetings and workforce communications, responding to routine administrative inquiries, and compiling workforce data and reports. This work is onsite at 300 East Main Street, Norfolk, VA 23510-9104.
Key Responsibilities
• Support civilian personnel and workforce administration activities for LOGCOM and its subordinate organizations.
• Maintain and update recruitment, hiring, billet, personnel-action, and workforce-status trackers.
• Assist with tracking hiring actions and Personnel Allowance List (PAL) updates using Government-authorized systems and tools.
• Monitor civilian performance-management activities, including ePerformance registration, mid-cycle reviews, annual evaluations, and rating-cycle milestones.
• Prepare and maintain recurring reports, dashboards, spreadsheets, status reports, and data compilations.
• Support administrative use of FedHR, USAStaffing, ePerformance, SharePoint, Microsoft Teams, OneDrive, Power BI Apps, and other Government-authorized systems.
• Maintain organized electronic filing systems and civilian workforce records.
• Maintain and update the CRC SharePoint site, including job aids, templates, reference materials, files, and other resources.
• Coordinate civilian workforce meetings, briefings, training sessions, conferences, and special events.
• Prepare meeting invitations, agendas, rosters, briefing materials, read-ahead packages, presentations, and related documentation.
• Respond to routine administrative HR inquiries using Government-approved information and guidance and elevate policy, employee-relations, labor-relations, fiscal, or other decision-based matters to Government personnel.
• Coordinate with LOGCOM leadership, supervisors, Base-level points of contact, training providers, and other stakeholders.
• Prepare clear professional correspondence, reports, presentations, spreadsheets, and workforce communications.
• Protect Personally Identifiable Information (PII), Sensitive But Unclassified information, and Government personnel records.
• Support weekly, biweekly, monthly, and ad hoc reporting requirements in accordance with established deadlines and quality standards.
Minimum Qualifications
Minimum three (3) years of experience in one or more of the following areas: Business administration or Human resources support or Program analysis or Related administrative support functions.
High proficiency with Microsoft 365 including Word, Excel, PowerPoint, etc.
Preferred Qualifications
• Experience supporting Federal civilian personnel, military personnel, or other Government personnel programs.
• Experience with Federal HR processes, recruitment/hiring actions, personnel tracking, performance management, or workforce administration.
• Familiarity with FedHR and USAStaffing.
• Experience with ePerformance or similar employee performance-management systems.
• Experience maintaining SharePoint sites, document libraries, workforce trackers, dashboards, or similar collaborative information repositories.
• Experience handling personnel information and PII in a Government environment.
Security and Background Requirements
Personnel must satisfy applicable Government security and suitability requirements and complete the required security investigative documentation. This will include completion of the SF-86 Questionnaire for National Security Positions or equivalent Government investigative documentation.
Min. Citizenship Status Required: U.S Citizenship and must be meet suitability screening for working in a federal government environment, must pass a background check.
