About the role

The Office Manager / Personal Assistant to the CEO ensures the smooth day-to-day operation of the office while providing high-level executive support to the CEO. This role manages office operations, executive scheduling, travel, communications, meetings, vendors, and special projects, serving as a trusted partner in a fast-paced technology environment.

This is a hybrid position based out of our New York City office and requires working in the office a minimum of three days per week.

Responsibilities

- Manage daily office operations and vendor relationships.
- Oversee office supplies, facilities, security, maintenance, and the overall workplace experience.
- Coordinate onboarding logistics and office events.
- Manage the CEO’s complex calendar and meeting schedule.
- Coordinate domestic and international travel arrangements and itineraries.
- Screen correspondence and prioritize communications.
- Prepare agendas, presentations, and meeting materials.
- Take meeting minutes and track follow-up actions and deliverables.
- Process expenses, invoices, and approvals.
- Support Board of Directors and executive leadership meetings.
- Handle confidential and sensitive information with discretion.
- Partner across departments to support strategic initiatives and special projects.
- Maintain organized filing systems and executive records.
- Coordinate visitors, meetings, and executive hospitality.
- Perform other duties as assigned.

Requirements

- Bachelor’s degree preferred, or equivalent combination of education and experience.
- 3+ years of experience supporting C-suite executives.
- Previous experience as an Office Manager, Executive Assistant, and/or Personal Assistant.
- Experience working in a high-growth technology company preferred.

Compensation

The anticipated annual base salary range for this position is $85,000–$115,000. We consider a number of factors when determining compensation, including a candidate’s skills, education, relevant experience, and qualifications, along with internal compensation consistency and alignment with InfoTrack’s compensation philosophy.
