About this role
Title: Unanet CRM Administrator
Location: Syracuse, NY or Seattle, WA
Job Type: Regular Full-time
What’s the Opportunity?
Anchor QEA is seeking an experienced, solutions-oriented, and data-driven Unanet CRM Administrator to support our continued growth.
Reporting to the Director of Market Sectors, this role will serve as the primary administrator and subject-matter expert for Anchor QEA’s CRM platform, Unanet. The Unanet CRM Administrator will strengthen the systems, data, workflows, reporting, integrations, and user practices that support business development across the firm.
The primary objective of this role is to transform CRM data into trusted, actionable business intelligence that increases visibility into client relationships, sales activity, pursuits, pipeline, and forecasts. Working across Market Sectors, Client Experience, Finance, Operations, and Information Technology, this individual will ensure Unanet functions as a reliable and scalable business development operating system—not simply a repository of contacts and opportunities.
The successful candidate will bring significant hands-on Unanet CRM experience within the AEC consulting or professional services industry. Through strong system ownership, data governance, reporting, automation, and user adoption, this role will help Anchor QEA position earlier, pursue more strategically, and make better-informed growth decisions.
Responsibilities:
CRM Administration and Governance
- Serve as Anchor QEA’s administrator and internal expert for Unanet CRM.
- Manage system configuration, fields, forms, workflows, permissions, security roles, notifications, business rules, upgrades, and user access.
- Establish and maintain CRM governance standards, including required fields, naming conventions, opportunity stages, and record ownership.
- Maintain system documentation, configuration records, process maps, data dictionaries, and administrative procedures.
- Serve as the primary liaison with Unanet customer success, support, product, and technical teams.
- Monitor system performance, usage, support requests, and product releases to identify risks and improvement opportunities.
Pipeline Reporting and Business Intelligence
- Develop dashboards and reports that provide accurate, timely visibility into pipeline, weighted pipeline, sales activity, opportunity stages, win rates, forecasts, and pursuit outcomes.
- Partner with market-sector and financial leaders to improve pipeline forecasting and reporting consistency.
- Identify pipeline gaps, stalled opportunities, aging records, incomplete data, concentration risks, and areas requiring seller attention.
- Support executive and operational reporting through Unanet, Power BI, Excel, and related tools.
Integration, Automation, and Data Quality
- Design automations that reduce duplicate entry, improve consistency, and lessen administrative burden on seller-doers.
- Advance Unanet CRM integration with ERP, financial planning, Power BI, Microsoft Power Platform, SharePoint, Outlook, marketing automation, and other business systems.
- Improve connections among opportunities, awarded work, project setup, financial forecasts, resource planning, and backlog.
- Evaluate and present opportunities to automate marketing-content workflows.
- Lead recurring audits, validation routines, deduplication, data enrichment, archival, and record-management activities.
- Support CRM data migrations and the onboarding of newly acquired teams or firms.
Business Development Enablement
- Partner with the Director of Market Sectors, market-sector leads, Client Experience, Finance, and seller-doers to align CRM capabilities with Anchor QEA’s growth priorities.
- Develop tools and processes that allow seller-doers to spend less time on administration and more time building relationships and winning work.
- Connect conferences, thought leadership, campaigns, and client outreach to related opportunities, pipeline, and sales.
- Improve visibility into client interactions, relationship coverage, sales calls, next actions, and opportunity progression.
Training, Adoption, and Continuous Improvement
- Develop role-based CRM onboarding and training for executives, market-sector leaders, client coordinators, opportunity leads, seller-doers, and support teams.
- Create practical user guides, videos, process documentation, office hours, and best-practice resources.
- Provide day-to-day user support and address recurring issues through improved configuration, automation, documentation, or training.
- Gather user feedback and use adoption and data-completion metrics to target additional support.
- Maintain a prioritized CRM roadmap aligned with Anchor QEA’s business plan, financial-planning needs, and technology strategy.
- Lead CRM improvement projects from requirements gathering and configuration through testing, deployment, training, and evaluation.
