Position Summary
The File Maintenance Manager is responsible for overseeing storewide pricing accuracy, product information, shelf tags, signage, and promotional changes. This position leads file maintenance activities to ensure pricing and promotional information is completed accurately and on schedule while supporting store operations, regulatory compliance, and a positive customer experience.
Key Responsibilities

- Oversee daily file maintenance and pricing activities throughout the store.

- Ensure shelf prices, product tags, signs, and promotional materials are accurate and properly displayed.

- Coordinate and complete scheduled price changes, promotional changes, and advertising updates.

- Verify that shelf and promotional pricing accurately reflects information within store systems.

- Perform routine price audits and research pricing discrepancies.

- Correct pricing errors promptly and communicate significant issues to store leadership.

- Print, organize, distribute, and maintain shelf tags, promotional signs, and other pricing materials.

- Ensure expired tags, signs, and promotional materials are removed promptly.

- Monitor missing, damaged, outdated, or incorrect shelf tags and signage throughout the store.

- Maintain accurate product information, including descriptions, sizes, pricing, and other item details.

- Coordinate with department managers and associates to ensure price and signage changes are completed correctly.

- Provide direction and support to File Maintenance Clerks and other associates assisting with pricing activities.

- Maintain organized records and documentation related to pricing, audits, and file maintenance activities.

- Operate and troubleshoot handheld devices, scanners, printers, computers, and other file maintenance equipment.

- Monitor electronic shelf labels and other pricing technology when applicable.

- Assist with item setup, discontinued items, new products, and other product-information changes.

- Maintain adequate supplies of tags, labels, signs, and other file maintenance materials.

- Prioritize workload to ensure time-sensitive pricing and promotional changes are completed before established deadlines.

- Follow and reinforce company procedures related to pricing accuracy, safety, security, and loss prevention.

- Provide courteous assistance to customers when working throughout the store.

- Perform additional responsibilities as assigned based on business needs.

Leadership Responsibilities

- Provide daily direction and guidance to File Maintenance Clerks and associates supporting pricing activities.

- Organize and prioritize file maintenance assignments based on deadlines and store needs.

- Train associates on pricing systems, signage procedures, audits, equipment, and accuracy expectations.

- Review completed work to ensure pricing changes and promotional materials have been implemented correctly.

- Coach associates on accuracy, productivity, organization, and proper file maintenance procedures.

- Communicate pricing concerns, system issues, and operational needs to store leadership.

- Work closely with department managers to resolve pricing and signage discrepancies.

- Lead by example by demonstrating accuracy, organization, accountability, and attention to detail.

- Maintain a productive and organized file maintenance operation.

Pricing & Accuracy Responsibilities

- Monitor storewide pricing accuracy and identify discrepancies requiring correction.

- Conduct scheduled and routine price verification audits.

- Research differences between shelf pricing, promotional pricing, and system information.

- Ensure promotional pricing and signage are placed and removed according to established schedules.

- Review large price-change batches for completeness and accuracy.

- Identify recurring pricing problems and work with appropriate departments to resolve them.

- Maintain accurate records of completed audits, corrections, and pricing activities.

- Support compliance with applicable pricing and scanning requirements.

Qualifications

- Strong attention to detail and commitment to accuracy.

- Ability to prioritize multiple assignments and meet established deadlines.

- Ability to work independently while providing direction to others.

- Comfortable working with computers, handheld devices, scanners, printers, and other technology.

- Ability to learn and effectively operate store pricing and product-information systems.

- Ability to analyze discrepancies and determine appropriate corrective action.

- Strong understanding of retail operations and customer service expectations.

- Dependable attendance and punctuality.

- Previous retail, pricing, inventory, file maintenance, or leadership experience is preferred.

Physical Requirements

- Ability to stand and walk throughout the store for extended periods.

- Ability to bend, stoop, kneel, reach, and perform repetitive movements.

- Ability to lift and carry merchandise, signs, supplies, and equipment as required.

- Ability to safely use ladders or step stools when necessary.

- Ability to work throughout sales floors, backrooms, offices, and various department areas.

Work Environment

The File Maintenance Manager works throughout the store, including sales floors, department areas, backrooms, and file maintenance or office workspaces. The position requires significant attention to detail, organization, and time-sensitive work while coordinating with associates, department managers, and store leadership.
