About this role
The Accounting Assistant is responsible to provide support and enforce a strict segregation of duties between the Business Office Coordinator (BOC) and accounting tasks, including, but not limited to, accounts receivable/payable, and internal controls, while ensuring compliance with federal, state, and senior-living regulatory requirements. Incorporates the Generations mission, vision, and values in the daily work and interactions with others.
Essential Functions and Tasks - duties include but are not limited to the following:
The Accounting Assistant in this position will be a second set of eyes that provide segregation of duties required by SOX.
- Follow the Generations monthly financial calendar to ensure timely production of month-end close. Work together with BOCs and Staff Accountants to ensure accuracy of financial statements.
- Review, verify and approve vendor invoices within procurement software and ensure uploads are completed timely and accurately into accounting software.
- Review bank deposits from BOC and accurately enter and post into accounting software.
- May provide support to the BOC in preparing timely resident monthly rent statements.
- May assist BOC in preparing resident refunds according to policy and contract.
- May assist with technical assistance, training, and guidance to the BOCs.
- Provide collaboration with accounting team to streamline workflows and tasks.
- May step in to assist with data entry or resident inquiries during staff shortages or peak billing cycles.
- Assist with monthly internal reviews of financial transactions to verify that AP and AR workflows remain entirely separate.
- May assist with annual external audits by providing supporting documentation as needed.
- Responsible for keeping the office organized and neat in appearance.

- Maintain professional appearance and adhere to dress code as outlined in the employee handbook.
- Accept criticism or redirection in a positive manner and show willingness to redirect behavior, performance, or attitude as instructed by supervisor.

Qualifications:
- Proficient in Microsoft Office and business systems (PointClickCare, Sage Intacct, OnCare).
- Knowledge of cash handling, deposits, and financial transactions
- strong communication, problem-solving, and decision-making skills
- Ability to manage priorities, complete tasks accurately, and meet deadlines.
- Self-motivated team player with the ability to work independently.
- Maintains confidently and adheres to company policies and compliance standards.
Education and Experience:
- High School Diploma or GED required (Bachelors preferred in Business or Accounting).
- 3–5 years of experience in business office or accounting functions.
- Senior living, healthcare, or multi-site experience strongly preferred.
- Working knowledge of accounting best practices such as payables, receivables, and reconciliations.
- Strong knowledge of Federal, State, City and County regulations and tax practices, and Medicaid regulations.
- Ability to read, write and follow written and oral instructions in the English language.
- Must pass background check and meet state regulatory requirements.
