Job Summary
The Training Coordinator is responsible for supporting the end-to-end administration of learning and development activities. This role ensures timely and accurate encoding of training data, facilitates exams, maintains training documentation, and ensures compliance with internal policies, audit standards, and regulatory requirements. The position also supports continuous improvement initiatives to enhance training processes, efficiency, and data accuracy, contributing to a structured and audit-ready learning ecosystem aligned with Advanced Energy’s standards.
Key Responsibilities
1. Training Administration & Data Encoding
- Accurately encode training records, attendance, and certifications in the TRADSYS databases
- Monitor training completion status and generate regular reports
- Ensure data integrity, accuracy, and audit readiness of all training records
2. Exam Facilitation
- Administer written and online training examinations
- Prepare exam materials, scoring sheets, and evaluation templates
- Check and validate exam results and ensure proper recording of scores
3. Documentation Management
- Maintain organized and compliant records of training documents (e.g., attendance sheets, certifications, exam results)
- Ensure updated version of training materials and modules
- Support creation, updating, and archiving of training documentation
4. Compliance & Audit Support
- Support internal and external audit activities related to training records
- Track mandatory and compliance-related trainings (e.g., safety, quality, ethics)
- Identify gaps in training compliance and escalate issues to HR/OD leaders
5. Continuous Improvement
- Identify process improvement opportunities in training administration, documentation, and exam handling
- Support the standardization and optimization of training workflows and templates
- Participate in process improvement initiatives (e.g., Lean, Kaizen, digitalization efforts)
6. Coordination & Support
- Coordinate training schedules, logistics, and participant communications
- Respond to employee inquiries regarding training records and requirements
Qualifications
- Bachelor’s degree in Human Resources, Psychology, Business Administration, or related field
- 1–3 years of experience in HR, Training Administration, or Learning Support
- Experience in manufacturing, shared services, or compliance-driven environments is an advantage
- Strong proficiency in MS Excel (tracking, reporting, data validation)
- Experience using LMS preferred
- Strong documentation and data management skills
