[What the role is]
The Rail Licensing Division is looking for a motivated, organised and pro-active individual to provide administrative and operational support to the Division. You will play an important role in ensuring the smooth day-to-day operations of the Division by supporting management, coordinating administrative matters and maintaining effective records and processes.
[What you will be working on]
As a key member of the team, you will be responsible for:
- Providing executive and administrative support to the Deputy Director and the Division, including coordinating schedules, preparing budget, tracking expenses and assets, handling procurement and tracking follow-up action items;
- Providing secretariat support for the Division/ Sub-Group meetings, including arranging meetings, recording minutes and maintaining records.
- Managing the Division’s correspondence, documentation and registry matters, including maintaining relevant databases, document repositories and tracking systems;
- Supporting the manager/ senior officers in operational rail licensing or non-fare matters such as supporting the review of routine submissions and feedback, streamlining of processes and coordinating follow-up actions; and
- Performing other administrative and operational duties as required.

- At least 2 years of experience in administrative, secretariat, executive support or office management roles will be an advantage;
- Strong organisational and administrative skills, with good attention to detail;
- Good written and verbal communication skills;
- Ability to manage multiple tasks, prioritise effectively and meet deadlines;
- Proficient in Microsoft Office applications and comfortable working with digital systems and databases;
- Resourceful, pro-active and able to work independently in a fast-paced environment;
- Good interpersonal skills with the ability to coordinate and work with stakeholders across different functions; and
- Experience in budget administration, procurement, and records management will be an advantage.
