We’re hiring a Legal Assistant at our Corporate Headquarters in Columbia, MO and we’re looking for someone who’s ready to grow with us, bring energy and drive to their work, and help us build the future of construction. The Legal Assistant/Paralegal will support the day-to-day matter management, contract administration, and departmental operations that keep our Legal team running smoothly, helping our attorneys focus on the priorities that advance EquipmentShare's mission to make construction more connected, efficient, and equitable. This role is designed to grow with the right candidate, with responsibilities and growth path calibrated to experience.
Primary Responsibilities
- Support M&A and ABL compliance matters by maintaining accurate, up-to-date tracking and coordinating communication across teams.
- Maintain the accuracy of the company's entity records and support administrative coordination for entity and licensing matters.
- Review and process routine commercial contracts, escalating exceptions or non-standard terms for attorney review.
- Support intake and coordination of recurring matter types, such as contingent worker requests and UCC filings.
- Support the department's purchase order and vendor invoice processes.
- Serve as a first point of contact for department correspondence and cross-platform communication, ensuring time-sensitive items are identified and routed appropriately.
- Coordinate document workflows, including signature and notarization support.
- Assist with matter and contract triage projects and vendor coordination under the direction of supervising counsel.
- Support recurring department reporting using established templates.
- Ownership of Standard Operating Procedure (SOP) maintenance and updates.
- Other duties as assigned.

Skills & Qualifications
- Strong organizational skills and high attention to detail.
- Proficiency in Microsoft Office and Google Suite; comfortable learning new software platforms (Monday.com, LawVu, DocuSign, and accounting/PO systems a plus).
- Clear written and verbal communication skills.
- Ability to prioritize and independently manage a high volume of recurring tasks.
- Discretion in handling confidential legal and financial information.
- Notary public commission preferred, or willingness to obtain one
- High attention to detail, discretion, and professionalism.
Education and Experience
- High school diploma or equivalent required; associate/bachelor's degree or paralegal certificate preferred.
- At least 1 year of administrative, legal support, or paralegal experience.
- Prior experience with contract administration or matter/contract management systems is a plus.
Physical Requirements
- Must be able to sit and look at a computer for long periods of time.
