The Office of the Vice Provost for Research & Scholarship (OVPRS) has a great job opportunity for a temporary part-time Sr. Program Coordinator to work at the University of Miami.
CORE JOB SUMMARY
The Sr. Program Coordinator supports OVPRS research education initiatives by developing and maintaining engaging instructional content, training materials, multimedia resources, assessments, and online learning experiences in collaboration with subject-matter experts. The position also coordinates website content, communications, and educational program logistics to ensure information and materials are accurate, accessible, current, and aligned with University standards. Additionally, the role supports workshops, seminars, conferences, and other events through stakeholder coordination, material preparation, participant engagement, and outcome tracking.
CORE JOB FUNCTIONS
Training/Instructional Design
- Coordinate the review, revision, and maintenance of research education and training materials, including presentations, guides, handouts, reference documents, toolkits, and online resources.
- Work with subject-matter experts to ensure training content is accurate, current, accessible, and aligned with University policies and applicable research requirements.
- Designs and creates engaging learning activities and compelling course content that enhances retention and transfer. Identifies the methodologies used to deliver curated content.
- Stays abreast of emerging technologies that can be integrated into courses.
- States instructional and learning goals and creates content and assessments that matches them
- Produces instructional graphics, the user interface and the finished product. Determines the context of aesthetics (size, font, design, and experience), placement, frequency of use of tools, content format, and more, to ensure learners are not overwhelmed by the experience.
- Conducts instructional research and analysis on learners and contexts.
- Applies tested instructional design theories, practice and methods.
- Provides exercises and activities that enhance the learning process.
- Creates supporting multimedia material/media (audio, video, simulations, games etc.).
- Determines the criteria used to judge learner’s performance and develop assessment instruments
- Maintain an organized inventory of educational materials, including version histories, review schedules, approvals, and publication dates.
- Format and proofread training materials to ensure consistency with OVPRS and University branding standards.
- Assist with converting training content into formats appropriate for in-person, virtual, and self-directed learning.
Website Coordination
- Coordinate routine updates to OVPRS webpages, including educational resources, training opportunities, events, announcements, and program information.
- Review website content regularly to identify outdated information, broken links, formatting inconsistencies, and opportunities for improvement.
- Draft, edit, and proofread website copy to ensure information is clear, accurate, accessible, and audience appropriate.
Communications
- Draft, edit, format, and distribute communications to faculty, staff, students, and other members of the University research community.
- Support the development of newsletters, email announcements, event invitations, program updates, and other promotional communications.
- Maintain communications calendars, distribution lists, templates, and approval workflows.
- Coordinate with internal stakeholders to gather content, confirm accuracy, obtain approvals, and meet publication deadlines.
- Track communications activities and assist with evaluating engagement, attendance, or other relevant outcomes.
Events and Program Support
- Coordinate materials and communications for OVPRS-sponsored educational programs, workshops, seminars, conferences, meetings, and special events.
- Coordinate with presenters and internal partners to collect biographies, presentation materials, disclosures, and other required information.
- Ensure event materials are accurate, professionally formatted, and available by established deadlines.
- Support post-event activities, including distribution of materials, participant evaluations, attendance records, and outcome reporting.

CORE QUALIFICATIONS
Education:
Bachelor’s degree in relevant field
Degree in Instructional Design or Higher Education Administration is preferred
Minimum 2 years of relevant experience
Experience:
Minimum 3 years of relevant experience required. Teaching experience is preferred.
Knowledge, Skills and Abilities:
- Ability to accurately prepare and maintain records, files, reports and correspondence.
- Ability to communicate effectively in both oral and written form.
- Ability to maintain effective interpersonal relationships.
- Skill in completing assignments accurately and with attention to detail.
- Ability to process and handle confidential information with discretion.
- Ability to work independently and/or in a collaborative environment.
- Proficiency in computer software (i.e. Microsoft Office).
- Experience using industry standard Learning Management Systems (LMS) such as ULearn is required.
- Experience working with subject matter experts in research administration or compliance is preferred.
- Highly proficient with various Learning Management Systems.
- Ability to work under tight design and development deadlines while maintaining product/service quality.
- Project management expertise and the ability to prepare and maintain records.
- Skills using authoring tools such as Articulate, Adobe Captivate, inDesign, etc.
